What is a job?
A group of related activities and duties. These duties should be clear and distinct to minimize misunderstanding
What is job analysis?
it is the process of obtaining information about a job by determining what the duties, tasks or activities of that job is. the data is used to develop job specifications that are the basis of employee performance appraisal
What is a job specification?
It is a statement of the needed knowledge , skills, and abilities of the person who is to perform the job
What are the most common methods of analysing jobs?
- interviews: job analyst may question individual employees and managers about the job under review
- questionnaire: the job analyst may circulate prepared questionnaires to be filled out individually by jobholders and managers
- observation: the job analyst may learn about the jobs by observing and recording on a standardized form the activities of job holders
What are the key elements of a job description?
- job title: indicates job duties and organizational level
- job identification: distinguishes job from all other jobs
- essential functions(job duties): indicate responsibilities entailed and results to be accomplished
- job specifications: skills required to perform the job and physical demands of the job

What does the job identification section entail?
- Departmental location of the job
- Person to whom the jobholder reports
- Date the job description was last revised
- Payroll or code number
- Number of employees performing the job
- Number of employees in the department where the job is located
- “Statement of the Job”
What is important to note concerning the statement of job duties?
- These are arranged in order of importance that indicate the weight, or value, of each duty; weight of a duty is determined by the percentage of time devoted to it.
- They stress the responsibilities that duties entail and the results to be accomplished.
- They indicate the tools and equipment used by the employee in performing the job.
What is necessary for the job specification section of the job description?
Personal qualifications an individual must possess in order to perform the duties and responsibilities
1. The skills required to perform the job:
Education or experience, specialized training, personal traits or abilities, interpersonal skills or specific behavioral attributes, and manual dexterities.
2. The physical demands of the job:
Walking, standing, reaching, lifting, talking, and the condition and hazards of the physical work environment
What is the purpose of a job analysis?
- Determining qualifications required of jobholders
- Providing guidance in recruitment and selection: Job analysis information helps recruiters seek and find the right person for the organization
- Evaluating current employees for transfer or promotion
- Provide a basis for determining training
- Setting compensation and maintaining fairness in wage and salary administration: Compensation is usually tied to the duties and responsibilities of a job

A process of establishing employee roles and responsibilities and the systems and procedures they should follow

What is the main purpose of job design?
to coordinate and optimize work processes to create value and maximize performance
What does a compressed workweek involve?
It involves shortening the number of days in the workweek by lengthening the number of hours worked per day
What does a flextime work schedule mean?
It involves working hours that permit employees the option of choosing daily starting and quitting times, if they work a set number of hours per day or wee. it reduces absenteeism and tardiness and increases productivity . employees are required to be present during a designated core period
What is job sharing?
The arrangement whereby two part-time employees perform a job that otherwise would be held by one full-time employee
