Definition: An individual registered with the organization Person-Specific Data: ▪Alternative Names ▪Case ▪Citizenships ▪Deductions ▪Education ▪Employment ▪Foreign Residencies ▪Relationships ▪Incidents ▪Special Caution
Person Specific Data Definitions Incidents Special Cautions Prospect Person
▪Incidents: Events that (could) have a directive
negative effect on the health and safety of a
person participant
▪Special Cautions: Warnings and alerts related
to the participant, such as behavioral alerts, e.g.
runaway
▪Prospect Person: supplied insufficient
information to be registered as a person, or the
org. doesn’t want to register as a person, but can
be registered later as a person

▪Watermark: Prospect records will have the
PROSPECT WATERMARK (as shown left)
▪Merging: Information can be merged between
person records or from a prospect to a person
record
▪Merge Steps: Mark record as a duplicate,
merge information to master record, complete
the merge
▪Unmarking: By unmarking a duplicate you
break the link between the 2 records
▪Options: A merge can be quit and resumed
later

Definition: employs persons, prospect persons or other
individuals
▪Prospect Employer: Supplied insufficient information or the
organization doesn’t want to register them as an employer,
allows interactions, watermark, register later
▪Employer-Specific Data: 3 types shown below:
▪Insurance Contributions: Recorded as Insurance Returns,
contributions on behalf of employees
▪Related Companies: A registered employer related to
another registered employer, e.g. a parent company
▪Trading Status: Record of if employer is trading aka ‘open
for business’, status can be actively trading, ceased trading
or liquidated

▪Definition: An individual or organization that
interacts with the agency on behalf of another
participant
▪Applications: They can submit these and
supporting materials on participant’s behalf
▪Specific Data Stored: Office and Office
Member
▪Office: A location where external parties carry
out their services, office members can become
external users of the system via a portal
▪Example: Community-based organization
Representative
▪Definition
▪Registering
▪Examples
▪Definition: An individual who interacts with the
organization on behalf of another participant
▪Registering: They are registered as part of
creating other roles, the system may
automatically register them, and they are always
associated with a participant/case (access via
area registered)
▪Examples: Contacts for participants, case
nominees, correspondents for participants or
cases
Information Provider ▪Definition ▪Data Stored ▪Examples
▪Definition: They supply the organization with
information relevant to other participants, usually
used in fraud prevention
▪Data Stored: There is limited details recorded
on them, due to their peripheral role and them
not receiving or delivering services or products
▪Examples: Private individuals, government
agencies, registered data brokers
