- How do you create a SUB SUMMARY PART?
LAYOUT MODE:
INSERT–>
BODY PART:
in the PART DEFINITION dialog box, choose SUB SUMMARY WHEN SORTED BY.
- When you select SUB SUMMARY WHEN SORTED BY, you then:
can access the LIST OF FIELDS on the RIGHT side of this window. THIS IS WHERE YOU TELL FM WHICH FIELDS YOU WILL BE SUMMARIZING BY.
- Once you have chosen a field to SUB SUMMARIZE by, FM asks you:
if you want to print the SUB SUMMARY PART above or below the records it summarizes.
- You can actually put TWO Sub Summary Parts associated with the same field on a layout AT THE SAME TIME, as long as:
one is set to print ABOVE the records and the other BELOW.
- How many SUB SUMMARY PARTS can you put on the same layout?
Several, with each ASSOCIATED with a different field, this way you can create NESTED SUB GROUPINGS, each WITH THEIR OWN SUMMARIZATION DATA
- When you use MULTIPLE SUB SUMMARY PARTS in one report, you need to be EXTRA CAREFUL with:
SORT ORDER.
- For MULTIPLE SUB SUMMARY PARTS that print ABOVE the records, you SHOULD sort the fields in the order of:
The SUB SUMMARY PARTS themselves.
- For MULTIPLE SUB SUMMARY PARTS that print BELOW the records, you should sort:
FIRST by the FIELD ASSOCIATED with the BOTTOMMOST PART, and then by the NEXT ONE UP, and SO ON.
- If you DON’T INCLUDE a field in the SORT ORDER when you have MULTIPLE SUB SUMMARY PARTS, FM simply:
EXCLUDES the SUB SUMMARY PART(S) for that field from the report.
- By FM EXCLUDING SUB SUMMARY PARTS that were NOT included in the SORT ORDER, you:
can have a SINGLE LAYOUT that reports on data with different groupings based only on the SORT ORDER.
- You can even make a LAYOUT with SUB SUMMARY PARTS, but NO BODY PART. A layout set up like this just shows:
GROUP SUMMARIES, without individual record details.
