Listen to others
People like to be listened to, and you can show them you were listening by repeating their idea and blending it with your opinion. Even if you disagree, a simple acknowledgement of their idea can put them at ease
○ Ex: I see what you mean, but I think we should reschedule so other stakeholders can weigh in first
Avoid negative wording
People will be more receptive to the same concept worded in a positive manor
○ Ex: I don’t think that’s such a good idea
Avoid Finger pointing word
“You”— “ You” can feel accusatory; so, the easiest change is to substitute “You” with “I” or “We.”
○ Ex: I didn’t understand that.
Modal Verbs
Use Modal Verbs like Could / Would / May
Use Passive Voice
The reports were signed off yesterday by project manager
Choose Words Carefully
Say “Last year’s project was not a success” instead of “Last year’s project was a failure”
Rephrase Direct Statements
Say “Our computer system is down. We’re now working on a fix and hope to have it back up as soon as possible. Thanks for your patience.” instead of “Our computer system is down. We are not sure how long it will take to fix.”
Use Minimizers
Say “There has been a slight delay in our shipment. It may take a bit longer to arrive” instead of “There has been a delay in our shipment. It may take weeks to arrive.”
