The purpose of the architects observation is:
To become generally familiar with the progress and quality of the work and to keep the owner informed
To endeavor to guard the owner against defects and deficiencies in the work
To determine if the work is progressing in such a way that it will be in accordance with the contract documents when completed
A field report should include:
Report name and the architects project number (and a project number assigned by the owner or contractor if applicable)
Filed report number
Dare and time of the observation, and the weather conditions at the site
Work currently in progress
Number of workers present at the site or an estimate of the number, if the project is large
Observation made, including any problems, which may include photographs documenting the conditions at the site
As assessment of the conformance with the construction schedule and the estimated percentage of completion
List of items to verify, and action or information needed from owner, contractor or consultants
List of any attachments, and the names of the person making the report
Regress documentation the architect should maintain:
The standard forms used to administer the contract, such as change orders, certificates of payment, etc
Correspondence
Memoranda
Meeting notes
Emails
Telephone logs
Similar written or electronic material that records the daily who, what, why, when, and how of the project
