Situation
In my current role, I am in charge of a project team which oversees the distribution of the coronation awards.
Before a delivery is made, I am required to work with the units and organisations to run an active report of all eligible personnel and manage all personnel outstanding cases.
At the start of the project, I recognised that in order to ensure that I maximised the efficiency of these tasks I would need to adapt to using the internal bespoke software and other IT applications such as Microsoft Excel.

Once I quickly adapted to using the systems I recognised ways in which we improved the way we were using them.
I actively reviewed the ways that other distribution teams worked and I identified the team spent hours everyday generating reports of eligible personnel when I believed there should be more of an efficient way to do this.

Action
The action I took was to generate a report of every active service personnel eligible for the award, then I used Microsoft Excel pivot table function to categorise and organise the data by unit.
In addition to this, I asked to be observed by experienced members of staff in the organisation to receive direct feedback from them. I then actively spent time helping others in my team understand and adapt to these changes.

Result
The result of this led to my team only being required to run a report weekly significantly saving time and becoming more cost effective.
I also know that requesting experienced senior staff members to observe these proposed changes allows for these ideas to cost save to be reviewed on a wider level in other teams across the organisation.
I believe that taking ownership of these improvements and by maintaining a passion to learn in any role I do in the civil service will enable me to continue to improve.
