The Medical Services Officer (Prevention and Preparedness)
Who shall be responsible for: 1. Ordering, receiving, storing and safeguarding EMS supplies and equipment to maintain a central supply for the department
- Issuing EMS supplies and equipment from the department’s central supply to TFD stations
- Keeping records of incoming and outgoing EMS supplies and equipment
- Notifying the Medical Services Officer of damaged, lost, or stolen EMS supplies and equipment
The Administrative Paramedic Supervisor
Who shall be responsible for:
- Establishing and maintaining apparatus and fireboat inventory books
- Ensuring that a one month stock of required EMS supplies be maintained at his/her station
- Ordering EMS supplies by the 10th of each and every calendar month
- Ensuring that EMS supplies are stored in a clean and dry location in the station
- Ensuring that EMS supplies are rotated to minimize loss by expiration
Station Captains, Captain/Paramedics, and Paramedic Supervisors
Who shall be responsible for:
- Ensuring that their crews maintain the minimum inventory and stock levels of EMS supplies and equipment on apparatus and fireboats
- Ensuring that EMS supplies and equipments are stored only in clean and dry locations on apparatus and fireboats
- Following established procedure regarding damaged, lost or stolen EMS supplies and equipment
Officers and In-Charge Paramedics
Who shall be responsible for updating the TFD Inventory Database when notified by the Medical Services Officer (Prevention and Preparedness) that EMS equipment has been irreparably damaged, lost, or stolen.
The TFD Financial Assistant
Who shall be responsible for:
- Proper care and safekeeping of EMS supplies and equipment
- Exercising due caution to avoid unnecessary damage or loss of EMS supplies and equipment
All TFD personnel
The acceptable stock level to be maintained in TFD stations at all times based on anticipated usage.
One-Month Stock of EMS Supplies.
General Guidelines
- At a minimum, TFD apparatus and fireboats shall be stocked with EMS supplies, equipment, and medications in compliance with the:

PROCEDURE FOR ORDERING EMS SUPPLIES AND EQUIPMENT
TFD Personnel
- Go to the TFD Intranet site
- Choose “EMS”
- Under “EMS Forms” choose Medical Supply Order Form
- Complete the form.
- Save the completed form to your H drive.
- Send the completed form to the Administrative Paramedic Supervisor with a courtesy copy (cc) to the appropriate Station Captain, Captain/Paramedic, or Paramedic Supervisor.
PROCEDURE FOR REPORTING DAMAGED, LOST, OR STOLEN EMS SUPPLIES AND EQUIPMENT
TFD Officers and In-Charge Paramedics
- When EMS supplies or equipment are discovered missing, make efforts to locate items before reporting them lost or stolen.
- When EMS supplies or equipment are damaged, lost, or stolen:
a. Notify the Administrative Paramedic Supervisor by phone or email as soon as possible to ensure timely replacement of the items
b. During weekends and holidays notify an on-duty Captain/Paramedic, Paramedic Supervisor, or Lieutenant Paramedic as soon as possible to ensure timely replacement of the item(s)
c. Document in an email to the Administrative Paramedic Supervisor the circumstances of the damage, loss, or theft and steps taken to locate the missing equipment
d. Send a cc of the e-mail to the appropriate Station Captain, Paramedic Captain, or Paramedic Supervisor
PROCEDURE FOR REPORTING DAMAGED, LOST, OR STOLEN EMS SUPPLIES AND EQUIPMENT
Administrative Paramedic Supervisor
- When notified of damaged, lost, or stolen EMS supplies and/or equipment, ensure that:
a. Replacement items are made available for that apparatus in a timely manner
b. The notification e-mail from the Officer or In-Charge Paramedic includes the steps taken to locate any missing equipment - Forward the notification e-mail to the Medical Services Officer (Prevention and Preparedness).
- Provide the Medical Services Officer (Prevention and Preparedness) with the following information, as applicable, for lost or stolen EMS supplies and equipment:
a. City equipment number
b. Serial number
c. Manufacturer
d. Model number
e. Nomenclature
f. Year acquired
g. Purchase price
PROCEDURE FOR REPORTING DAMAGED, LOST, OR STOLEN EMS SUPPLIES AND EQUIPMENT
Medical Services Officer (Prevention and Preparedness)
- Review e-mails forwarded by the Administrative Paramedic Supervisor regarding damaged, lost, or stolen EMS supplies and equipment.
- For lost or stolen EMS supplies and equipment, complete and route the City of Tacoma Loss of Funds or Property Report to the City Internal Auditor and City Risk Manager.
- Notify the Financial Assistant to update the TFD Inventory Database.
