Records Management is:
Systematic control of records throughout the entire record life-cycle
Disposition is:
The wide range of actions taken to manage records over time. Includes: retention, destruction, transfer to archives or external org.
Destruction is:
Act of disposing of records permanently so that the information can no longer be reconstructed/recovered
A record is:
Recorded information of any media, made or received by an organization, which is useful in the operation of that organization.
Files Management is:
(Trad) Analysis of filing equipment for economical use.
(Modern) A sub-unit of records management.
The Record Life-Cycle is:
The cycle of a record’s progress through an organization. eg: Creation – Distribution – Use – Maintenance – Disposition
A system is:
a group of interrelated parts acting together to accomplish a goal.
System inputs are:
necessary ingredients for the process to reach its goal.
A long-term record is:
a record which documents an organizations history, policies and procedures, or individual papers having historical significance. They have continuing value.
A permanent record:
has the ability to last for a long period of time.
Essential records are:
essential to the operation of the organization. Needed for resuming operations after a disaster. Considered long term records.
A temporary record:
does not have continuing or lasting value. eg: notices, telephone notes
Record copy is:
official copy retained for legal, operational, or historical purposes. The original record.
Non-record copy is:
not included in the scope of official records. A copy of the record copy in other locations. These are not required to be retained.
Administrative records are:
common to all departments, orgs, and individuals.
