Ship Clerk Function- 3-fold, what are they?
Manage SSP, YMS, and Case Management.
SSP- What is it and what is required of the Ship Clerk?
Sortation Service and Products
Responsibilities:
• Track current loads and VRIDS
• Maintain appropriate VRIDS based on volume. Add/Cancel VRIDS accordingly
• Manage case management
• Track late departures annotating the case number and reason for late departure
• Keep visibility on full OB trailers in the yard entering cases for dwelling trailers
YMS- What is it and what is required of the Ship Clerk?
Yard Management System Responsibilities: Manage YMS moves -Hostler Moves -Guard Shack -Empty trailers coming in Review and manage empty trailer pool Own all SSP and YMS metrics: -Displaced trailers -Trucks lingering at Exit Gate -Audit discrepancies -Late Departures
Case Management- What is required of the Ship Clerk?
- Enter Cases for late drivers, departures, new VRIDS, etc.…
- Manage current and past cases
- Help NOC with overdue tickets by doing research etc.…
Other Ship Clerk Responsibilities?
- Complete the Dock Wash At EOS
- Manage Ship Clerk Standard work
- Dock door walk at SOS to verify SSP information and to perform TDR shift change verification
- Support the management of labor and flow on the ship dock
- Provide additional coverage for breaks, lunch, or 12 hour schedules to ensure the ship dock always has a T3 present.
- Full ownership of all loaded trailers on the property!

SOS Standard Work- YMS Door Audit in Kindle, what do you do?
In TDR app, click on magnifying glass in top right corner, scan badge and select all OB doors. Follow prompts to confirm clerical and physical match for each trailer. Note discrepancies (partner with AM for TDR Clerical Violations)
SOS Standard Work- SSP Audit, what do you do?
a. Since you’ve confirmed YMS is accurate, ensure all doors are attached and started for all doors.
SOS Standard Work- FMC verification, what is it?
- Check FMC for correct subcarrier to identify and/or eliminate transload issues.
- Print copy of day’s Skeds truck schedule for CPTs for Manual SLAM areas (Problem Solve, SIOC and BOD)
Q1 Standard Work-
1) Using prior shift’s Dock Wash or during shift handoff, verify BOLs for all loaded trailers and confirm / update location via YMS.
2) Cancel all past, unused VRIDs for SDT (standard departure times) and CPTs
3) All open tickets for empty trailers and late pickups / departures should be annotated and added
4) Yard Audit team performs full yard audit, verifying physical / virtual match of full trailers and seal numbers.
5) Confirm yard audit information and empty trailers for all current and next shift CPTs.
a. If there is lost trailer (BOL but not found during audit OR found during audit with no corresponding BOL), trailer / VRID should be researched in FMC and Event History to recreate timeline. An email should be sent to “mdw6-outbound” detailing VRID, Lane, Trailer number and all relevant details and proposed resolution and timeline for follow-up.
Quarterly Tasks: Trailer Pool Management, what do you do?
Using the Amazon Logistics site, review current trailer pool for adequate empty trailers for current and next shift. Follow Case Management procedure to ensure all SDT / CPT VRIDs have an empty trailer.
Quarterly Tasks: Late Drivers, what do you do?
If a driver is not onsite 15 minutes prior to CPT, a late driver ticket should be created in Case Management. Check FMC first to ensure the Guard Shack didn’t check a driver in but not communicate it to the Dock team. The system should auto-generate one, so search Case Management by VRID first. If no ticket exists, create one and copy “ind2-ob-dock” and include in EOS Dock Wash.
Quarterly Tasks: Closing Trailers / CPTs, what do you do?
- Trailers should be closed at SDT / CPT, regardless of whether or not a driver is here. They should NEVER be departed early.
- BOLs should only be printed when we TDR a trailer out of the door and it’s done being loaded (If you print a BOL and there are no packages listed on it, it hasn’t been swept properly.
Quarterly Tasks: Sort center loads, which one’s pertain to you and what do you do?
Sort center loads must be secured with load securing devices.
- KCVG, CVG, MKE, MCI, etc.
- If truck does not provide load securing device, escalate via C3PO website to report the carrier’s unwillingness to provide this resource.
Sweeping Trailers: Completed trailer, what do you do?
- When closing trailer, select ‘Sweep’ first.
- Trailer graphic will show green when all intended SDT/CPT freight is virtually on the trailer.
- Scan seal, check box to verify sweep, and click ‘Finish Loading’.
- Print BOL and paperclip seal to paperwork.
