What is RFI
Request For Information
- when you’re looking for information and general inquire
- often short information
- purchaser is often not committed to buying
(Used when you think you know what you want but need more information)
What is RFP
Request for proposal
- When you know the scope of the product
- Sent to only a few companies
Focusing on comparing vendors
(Used when you have a problem but dont know how you want to solve it and how much you would charge for implementing your solution)
What is RFQ
Request for quotation
- When you are ready to buy
- Questions about costs and payment terms
- Price is in focus
- Purchaser/buyer has clearly defines a criteria or specification. We can call it a customized item.
(Used when you know what you want but need information on how vendors will meet your requirements)
What is the second RFQ
Request for qualifications
(Used to gather vendor information from multiple companies to generate a pool of prospects. Is generally used to short list candidates for the RFP)
Purpose of RFI,RFQ and RFP
RFI= develop strategy
RFQ= compare costs
RFP= determine feasibility of each potential suppliers bid
Levels of effort on RFI,RFQ and RFP
RFI= MEDIUM
RFQ= LOW
RFP= HIGH

Timeliness
Incomplete

- No technical feasibility form

Selection Committee Guidelines
- Limited to no more than seven members
- Those with working knowledge should be selected
- Confirm all committee participants are prepared to devote the time and effort necessary to complete the process
- Confirm that all committee members understand the team section principles and process.
