What practical action should be taken when receiving or finding property at the station or while on patrol?
Notebook entry:
Finder, description of property, does finder want to claim it, circumstances, DTG etc.
Confirmation:
Check property details against notebook and have finder sign the entry.
Watch house action:
Have it checked and keeper sign your notebook
POL263:
Found property report. Mail original to finder
Label and secure:
Use POL220 label. Secure in property office (money or valuables in a safe or security cabinet)
State the steps to take to ensure any property received is correctly labelled and secured:
Use a POL220 label
Secure the property in the property office
Secure money or valuables separately in a safe or security cabinet
List the action to be taken if a person reports the loss of property to you while on patrol and when at the station:
Check found property records - call station if on patrol
Obtain details - to complete POL261 on return to station
Consider other action - search area?
Complete a POL261 - Lost property report, duplicate for person reporting the loss (mail if initiated on patrol)
Submit a POL261 - original to the watch house S/SGT
List the steps to take when returning found property:
Confirm the person is the actual owner
Hand over property after they sign the receipt section of the found property report (POL263)
Advise the owner of the finders details (if permission given)
Notify the finder (if they expressed interest in claiming)
What happens to each part of the POL268 (property record sheet)
Original (white): Receipt for the owner of the property (if deceased, then next of kin)
Duplicate (green): File copy
Triplicate (white card): remains with property.
When is a POL268 to be used?
For recording disputed or stolen property such as:
Seized with warrant Seized without warrant (illegally possessed) Seized as a possible exhibit In safe-keeping Of deceased people
What are your responsibilities when dealing with property?
All actions are witnessed, documents are countersigned and the articles stored correctly.
In relation to firearms and ammo, when do you use a POL268 and when do you use the arms surrender book?
POL67 - If it is surrendered to Police
POL268 - If it is seized by Police
How long has to pass before someone that finds property can claim it (if it isn’t claimed by the owner prior)?
1 month: under $50 in value
2 months: over $50 in value
What are each copy of the POL263 for?
Original: Finder (receipt)
Duplicate: File copy
Triplicate: found property index
What are the different forms used for property?
POL67: Arms surrender book (triplicate)
POL220: Property label (found property or exhibits)
POL261: Lost property report (duplicate)
POL263: Found property report (triplicate)
POL268: Property record sheet (triplicate)
