How do I forward my calls to my cell phone?

A

To forward a call from your CISCO IP Phone, 7960 series, you will need press “more” on the far right corner of your device. You will then select “CALL FWD” on the far left of your device. Following this action, you will need to type in on the keypad, the number you would like to forward too either by typing in “1”then the 10 digit phone number, or if you’d like to forward to an alternate line, the last 4 digits of their extension. (Ie; 6851)

How do I transfer calls to another department?

A

To transfer a call to another department or number using your phone, you will need to place the call you are currently on, on hold. Press the more softkey and then press the Trnsfer softkey. Next you will dial the number to which you want to transfer the call. When the dialed number rings on the other end, press the Trnsfer softkey again, or when the party answers, announce the call and then press the Trnsfer softkey. Hang up if the party accepts the call. If the party refuses the call or is unavailable, you will then return to the original call by pressing the Resume softkey.

How do I add calls to an existing call, creating a conference call?

A

During a call, press the Confrn softkey. This selects a new line and places the other party to whom you were speaking, on hold. Then, place a call to another number by using the dial pad to enter the digits of the other party to include on the conference call. Lastly, When the call connects, press Join to add the other party to the conference call.

How do I access the office after hours?

A

When anyone needs to use the office earlier than 6:00am or later than 10:00pm, you will need to notify Lauren Adler & your team leader beforehand (at least 24 hours) . If you do not notify Lauren Adler, and are here before/after the times listed, the alarm company will contact us. If we are unable to answer, they will remotely deactivate the alarm and we will be charged a fee. To enter the office in the event the door is closed press 1436* on the outer number pad, and you will be buzzed in. If you are first to arrive at the office, enter 1436* on the outside control pad, followed by entering “121553 enter” on the inside control pad to disarm the alarm system. If you are last to leave, with the door completely closed, press “121553 enter”, and then exit the office shutting the door completely behind you.

Can I access my voicemail from my home?

A

To access your voicemail remotely, you will need to dial your extension and allow it to arrive at your voicemail greeting. When you arrive at greeting, press # and type into keypad, your voicemail password. This will allow you to check your voicemail remotely.

How do I order more ink for my printer?

A

In regards to reps within the New York office, if you see that you are running low or have run out of ink/toner in your printer, please send Lauren Adler an email with the name of your printer and specify whether or not it is B&W or color and she will place the order for you.

How do I get my expense report approved?

A

If you are in need of an expense report template, Lauren Adler will be able to send to you. In regards to personal expense reports, they will need to be signed by your team leader and given to Shahla/David Levine for approval.

How can I ship magazines to a client?

A

To ship over 12 magazines to clients, those are orders to be given to Rebecca who will place for you. In regards to everyday magazine mailings, simply send me the issue you’d like to be sent, quantity, address and point of contact & they will be sent out for you.

How do I ship packages within the New York office?

A

To ship packages of any kind within the New York office, please provide Lauren Adler with the following: address, company name, point of contact, type of delivery(2 day, overnight, etc) approval from team leader, materials or contents of package & phone number.

How can I order supplies?

A

If you are an outter rep, the following instructions apply to you. If you are in need of supplies immediately, you will need to get approval to expense your purchases. If you are needing to ship something priority FedEx, simply contact Lauren Adler with company name, point of contact, address, phone number, weight of package & how fast you’d like it to be shipped. Please provide atleast 6 hours notification if you would like the shipment to be shipped out of the New York office.

We use MitchellsNY DataMovers Messenger Service for our Messenger service needs. You can request a service through Lauren Adler who will place for you.

How do I use the postage machine?

A

The postage machine ships both locally & internationally. In order to ship anything within the us, you will need to determine the type of package, the weight & select accordingly through the machine. In regards to international mailings, the process is the same, although you will need to select international and type in the country of which you’re shipping too.

How do I use the conference line?

A

The Conference Line Call-In Instructions are as follows: Dial - 1(855) 650-0316, you will then need to enter ID: “0001” followed by the moderator password if you are moderating the call which is “1000” If you are an attendee, you will disregard the moderator password and enter the Attendee Password, “0010”

How do I order meals for a lunch meeting?

A

All lunch meetings are ordered through our Seamless web account. You will need to email Lauren Adler the following: Date of Meeting, Time of Meeting & Time of delivery, Number of Attendees, Food Allergies & Type of Food if there is a preference.

How do I scan a document to my email address?

A

To scan a document(s) to your email address, you will need to use the Brother 8950 Copy/Scanner. Step 1: Place the document into the feeder and select Scan, then Scan to Email. Next you will find two options which are to either Manually enter your email address or access the address book in which Wei will need to add you if you do not find yourself in there already. You will then select Okay and press the Green Start button on the far right of the machine. The scanned document will come through to your email from Wei@bizbash.com.
