client/family cancels or shortens a shift within 48 hours of the scheduled start time and it is NOT due to a medical emergency
XC canceled visit
trip to the ER is a medical emergency so the shift would be changed to XC
Note for all cancelled shifts
note MUST ALWAYS be added to all cancelled shifts which includes a detailed description of the circumstances of the cancellation, along with the name of who called and the date and time.
Not ER = CV & MUST be paid
A client cancelling within 48 hrs because they forgot they had an MD appt is not an emergency and would be changed to CV and billed/paid
Our CG cancels & client says never mind
If a CG calls off and the client/family says they do not want a replacement CG then the shift is to be changed to XCG and will not be billed/paid.
If a client allows a CG to leave early from a shift, the client (not the CG!) must call the office to confirm they are allowing the CG to leave early. If they do not call or if there is no note, the CG will only be paid for the time they were there.
Likewise, if a CG needs to leave early for whatever reason, they will only be paid for the actual time they were there.

we want to simply schedule the sup visit during the same time as one of their established weekly visits
J: saw the daily recap indicating he had scheduled an HHA visit for today so I wanted to strike while the iron is hot and get the sup visit done
Most are allotted only 15 6-hr respite shifts every 180 days
“Respite-only”
VA clients can present a similar challenge as they tend to schedule respite shifts on an as-needed basis rather than following a reg weekly schedule
