Define the term job analysis
Refers to the components of job description and job specifications as it relates to employees within an organization
Distinguish between job description and job specification
Job description:
• describes the duties/responsibilities of a specific job
• Written description of the job and it’s requirements
Job specifications:
• Describes the minimum acceptable skills/qualifications/personal qualities needed for the job
• Written description of the specific qualifications/skills/experience needed for the job
Define recruitment
The process used by businesses to identify vacancies in the business and attract suitable candidates for it
Define screening
To eliminate the unsuitable candidates for the position. It’s parts of the selection procedure
Define selection
Involves choosing the best applicant for the identified vacancy. This is the person who best suits the job specification. The purpose of selection is to appoint the right person for the job
Explain recruitment procedure
Must comply with prescribed legislation to ensure fair labor practice that is free from discrimination. Legislation such as the EEA, BEE and BBBEE should be considered during the recruitment process
Give the steps of the recruitment procedure
Step 1: Determine the exact need of the business
Step 2: Prepare a job analysis, a job description, a job specification
Step 3: Identifying a recruitment source
Step 4:Write advertisement and include all relevant information
Step 5: Place advertisement in appropriate newspapers or magazines
Step 6: Allow sufficient time for response
Define internal recruitment
It refers to the use of internal sources to advertise vacancies from inside the business
What are the sources of internal recruitment?
- word of mouth
- staff notice board
- referrals from management
- internal e-mails
Give advantages of internal recruitment
- The already knows the candidate, their personality and strengths and weaknesses
- Candidates already know the business and how it functions
- A limited number of potential candidates means the process is faster and cheaper
Give the disadvantages of internal recruitment
- it limits the number of potential candidates to choose from
- it may cause conflict amongst staff members applying for promotions
- Those not appointed may feel demotivated
Define external recruitment
• it refers to the use of external sources to advertise vacancies from outside the business
Give advantages of external recruitment
- New candidates bring new ideas, talent and experiences into the business
- There are more candidates to choose from
- Minimizes conflict amongst employees who may have applied for the post
Give the disadvantages of external recruitment
- The possibility that the selection is not effective and the wrong candidate is chosen
- There are increased recruitment costs because of advertisement and interviews
- There is a longer process to follow as background checks must conducted
