Domain G: Meeting & Event Design Flashcards
What four processes must be followed to create the project procurement plan?
Planning, conducting, administering, and closing.
Describe the process of planning procurements.
MP/Team identifies the required goods and services needed to reach project objectives and determines if they are available in house or through an external supplier. MP should define what, how much, and when. Suppliers need to be identified.
Describe the process of conducting procurements.
Obtaining responses along with selecting and assigning a contract to a selected supplier. If bids received do not meet the minimum requirements, a secondary RFP process may be required.
Describe the process of administering procurements.
The process of managing the relationship between one’s organization and all engaged and contracted suppliers. This includes evaluating the performance of the contract and verifying changes and adjustments as needed - such as incorporating milestone dates into the project plan.
Describe the process of closing procurements.
The formal conclusion of the acquisitions process. All work is verified to confirm accomplishment according to requirements and quality previously established. Upon verification, deliverables are accepted and the acquisition process can then be closed. On-site staff should closely compare the contracts with that is actually received on-site.
What is a Work Breakdown Structure (WBS)?
Organizes and describes in detail the total scope of the project.
What are the two steps in developing the WBS?
Determine tasks and milestones, Estimate resources.
What is the critical path?
the chain of activities that must begin on time and stay on track in order to achieve project milestones and ultimately execute the project on time.
What is forcasting?
Anticipating the amount of time needed to complete each of the tasks and assign a unit of time to each activity in the project schedule.
What should be in a communication matrix?
What needs to be communicated. To whom does the content need to be communicated? Who is responsible for delivering the content? When and how often will the content be communicated? How will the content be communicated? Why does this information need to be communicated?
What are audits used for?
various aspects of an event, including sustainability, legal compliance, and ethical standards compliance.
What is Event Design
A process that starts with the development of event objectives that align with the overall objectives of the sponsoring organization. Those objective drive all decisions about program, content, venue, theme, decor, food, and marketing.
What is design thinking?
A discipline that uses the designer’s sensibility and methods to match people’s needs with what is technologically feasible and what a viable business strategy can convert into customer value and market opportunity.
What are the three distinct phases in the Design Thinking Process?
Inspiration, Ideation, & Imlpementation
What five principles should be used to guide the design thinking process?
Principle of assessment and evaluation, principle of meaningful engagement, principle of distributed learning, principle of collaboration, and principle of experience.
