MPMO
Master Project Management Office
PMBox
AIB’s Programme and Project Change Methodology repository, includes job aids, templates and process overviews.
CCD
“Concept Capture Document” this is an online form which requests funding for a project (business case)
AUC
“Assets under Construction” –If a project has capital costs, they are creating an asset.
SOW
“Statement of Work”legal agreement between a third party and AIB for services.
SMT
“Senior Management Team”typically used for business governance fora e.g., Retail SMT
PGM or PRJ
PGM = Programme ( it refers to L1/ L2 of Hierarchy) PRJ = Project (L3/L4 of hierarchy) the I-number can only be connected to theL3.
Cost Centre, iNumber or pNumber
Funding centres for PRJs, the investment plan will align with an iNumber, all property spend is against pNumbers and business spend outside the investment plan will be funded from a Cost Centre. A PRJ can only be aligned to one.
ECP
Enterprise Change Programmes, now more commonly known as Change Operations.
PID
Project Initiation Document, AIB templates can be found on the PMBox
DRC
Day rate contractor, AIB utilise Hays for the majority of these resources
3SS
The Hays system utilised for managing DRCs and their timesheets.
PPM
AIBs programme and project management tool –formally known as Clarity.
AIB has invested heavily in end to end customisation of the Clarity tool to align with and support AIB Change and financial management processes.
QLIK or QLIKVIEW
Data visualisation tool used by AIB for executive reporting and financial analysis, very useful for large programme level or portfolio level views. Contains the standard outputs required for Steering papers.
COUPA
AIB’s invoice management and payments system, all 3rdParty invoicing is processed through COUPA, this activity is supported by a PMO function
SAP
AIB use SAP for their finance operations, all iNumbers, pNumbers and Cost Centres will be linked to records on SAP and managed with payments flowing from processed POs on COUPA and other spend sources. Monthly actuals are posted from SAP to PPM.
FTE
Full time equivalent, this is the unit of measure for AIB resourcing, in PPM they operate on % of FTE so forecasting part time resources is recorded as 50% etc…
RATE MATRIX
AIB maintain a comprehensive “rate matrix” within PPM this allows PMs to select the role they need or the resource and the associated rate will be automatically assigned and used in cost plan calculations.
SPEND CERTAINTY
AIB have a reporting tool built in Qlikview which categorises spend in certainty levels –High (named resources), Medium (Role Based), Low (Itemised costs that are not broken down with any level of granularity). Non-resource costs aren’t categorised.
Stage Gates
AIB operate 4 stage gates (0,1,2,3) these align to their main delivery stages (Pre-Initiation, Initiation & Design, Execute & Control and Closure). CCDs are expected to transition between stage gates and this is recorded in PPM and managed via VMC.

Committed costs
Accrued spend, manually calculated each month based on known/expected spend that either has or hasn’t landed from SAP. Certain accrued funding is managed centrally e.g. Hays resources –AIB will provide detailed training on this process.
Itemised costs
Forecast spend that is either unable to be broken down to resource x rate, or is still a high level estimate
Outturn
The total actuals YTD, with the logged committed spend and remaining forecast, this is a key metric reported and tracked monthly
