Potential things that could come up and how to handle them
The document has no notarial wording and the client was unaware of the different types of certificates. They ask you which they should choose. How do you respond?
Let the client know they have to choose the notarial certificate to use or ask the issuing or receiving agency for instruction.
During a signing, the clients notice a discrepancy in the document and ask you what it means. How do you respond?
Let them know you’re unable to answer questions about the document but they can call the issuing or receiving agency for clarification.
A client presents you with a document with blank spaces throughout. They ask you to help them fill it out since you see these documents all the time. How do you respond?
Let them know you’re only able to complete the notarial certificate, all other portions of the document must be completed by them. They can call the issuing or receiving agency for more information on how to complete the form.
Your notary stamp or journal was stolen! What do you do?
Report the incident to the police and then notify the Oregon Secretary of State’s using the Missing Stamp, Certificate or Journal form within 10 days.
Upon review of the document, you find blank spaces. What do you do?
Hand the document back to the client to have them fill it in. If the client doesn’t have the information, suggest they call the issuing or receiving agency for information on how to complete the form, or have the client line and initial the space. Note the location of the blank space in the additional information section of the journal.
