Project Management Processes And Roles Flashcards
What is the main point of the initiating phase?
To get authorization; the main outputs are the project charter and stakeholder register
Assign since that’s the authority for the project manager, uses business case to determine need and identifies high-level estimates for time, cost, risk, constraints
What is done in the planning phase
Done in conjunction with all 10 knowledge areas and combines knowledge plans into one main output which is the project management plan
It includes the three base lines of scope time and cost, has the requirements from the stakeholders and identifies risk
What is done in the executing phase?
Getting the project work done
The main outputs are deliverables
This process requires the most time and resources to complete
This phase carries more weight and questions then planning because of all the resources needed
What is done in the monitoring and controlling phase?
This is about measuring, inspecting, monitoring, verifying, reviewing, and comparing the actual work (from executing phase) to the planned work (from planning phase)
Making sure the work is done as described in the management plans and baselines
This is where formal acceptance of deliverables is completed
When does the closing phase happen?
Closing happens after the customer or sponsor has accepted the deliverables
What are some common inputs to a process?
PPEO
Project management plan
Project documents
Enterprise environmental factors
Organizational process assets
What are enterprise environmental factors?
Factors the project team cannot control
Can be positive or negative
Can be internal or external
What’s our organization process assets?
Processes, procedures and knowledge
What are some of the common tools and techniques used to complete processes?
ED4IMP
Expert judgment Data gathering Data analysis Data representation Decision making Interpersonal and team skills Meetings Project management information system (PMIS)
What are some data gathering tools?
Brainstorming, interviews, focus groups, questionnaires and surveys, checklist
Most often used in planning phase
What are some data analysis tools?
Alternative analysis (most popular; looking for different options)
root cause analysis
variance analysis (difference between plan and actual)
trend analysis
Most often used in the monitor and control phase

The second is the configuration management system which ensures the product gets the right settings and change managed correctly
What are some common outputs of a process?
Change requests (often output of execution phase)
work performance data (Raw data which is the status of the work done; usually output of executing process)
Work performance information (The actual status of the deliverable; usually output of monitoring and controlling process)
Work performance report (Report on all the compiled work performance information; total of all monitoring and controlling processes)
Updates to the project plan, project documents, EEFs or OPAs
