Project Management Flashcards
Stages in project management
- Concept and initiation
- Planning
- Execution
- Monitoring and Control
- Closure
Concept and initiation (pm stages)
Initial idea for project and setting goals
Planning (pm stages)
Planning resources and time
Gantt chart is used
Execution (pm stages)
Commencing the project
Monitoring and control (pm stages)
During execution, the project manager monitors the progress and control what is happening.
If anything happens he must reschedule some of the task to try to keep the project complete in allowed time and budget
Closure (pm stages)
Project complete and handover from project team to client.
Signing off contracts
Types of PM software
Desktop and web-based
Single user
Personal
Collaborative
Task in PM software
- Planning
- Scheduling of Tasks (software help to create Gantt Chart)
- Allocation of resources
- Costings
- Communication
- Decision Making - Graphs and reports can be produced to help decision making, also identify Critical Path
Critical Path Analysis
CPA finds a project’s critical path
The tasks in critical path must be completed on time
CPA also defines the minimum time a project can be completed
Gantt Chart
Show start and finish dates of each task
Show predecessor of each task
Show progress of the task
Disaster recovery management
To identify what risk might happen and prepare plans to overcome such problems
reduce loss of time, money or company assets
Risk Assessment
identifying the potential risks to an organization and analyze the potential impact and likelihood of each risk occurring
e.g. power cut, fire, malware, loss of key personnel
Perpetrator Analysis
Some risks involve people who deliberately cause problem
e.g. stealing company secret
Quantifying Risk
Risk = Likelihood x Impact
Through analysis, both likelihood and impact is given a number rating
Securing from loss of key personnel
Prevent key knowledge lose
Administrative password must have a copy or written in a sealed envelop
Knowledge of work should be documented
Recovery management
Procedures of how to recover from disaster must be setup. incl.
- backup restore
- hardware replacement
- software reinstall
- emergency replacement of key personnel
- emergency office relocation
Recovery Testing
Testing (Drill) for the recovery plans
Prototyping
Prototype is a mockup of software solution
Usually incomplete, fast, proof of concept
Commonly used in User Interface development to help capture client’s requirements
Evolutionary/Incremental prototyping
Prototyping takes iterative approach
Prototype is reviewed and improved based on feedbacks
Eventually evolved to became final product
Throwaway/Rapid prototyping
Usually fast, to help investigate a particular part of the system
Aims to get response from client as soon as possible
Prototype is discarded afterwards
Rapid Application Development (RAD)
RAD use prototyping to develop a system
Requirements are gathered through rapidly updating and reviewing with focus groups
Waterfall development method
Requirements are gathered and identified first,
follow by design, implementation
verification and maintenance stages
CAD
Computer aided design
Application that use vector graphics to draw 2D or 3D
e.g. 3D modelling software, Desktop design and publishing software (illustrator)
CAM
Computer aided manufacturing
Use computer to help manufacture physical objects
e.g. 3D Printer’s CAM software to “slice” the model into thin layers and “instruct” the machine how to produce those layers in 3D
e.g. Laser cutter use a CAM software to program the laser beam to cut the supplied pattern (drawn in CAD)
