Processes Flashcards
What are 4 ways that you can help ensure that all processes are routinely completed?
- Assign processes to reliable, productive people.
- Have an ‘accountability’ person to oversee and improve processes being effectively completed.
- Setup email and SMS reminders for assignees to get processes done.
- Setup triggers to alert additional people when someone does not get a process done on time.
What are some of the top benefits to utilizing routine, documented processes?
Processes influence more delegation.
Which processes should be the highest priority to create and make active first? And list a great example.
The processes that when activated effectively, can make all of the other process work easier and more effectively. Example: A process (or set of processes) that leads to hiring reliable, productive people to assign processes to.
How much should a serial entrepreneur with multiple companies focus on systematic processes?
Building, doing and assigning processes should be at the core of the entrepreneur’s daily routine.
Should Shawn be the primary person that builds our templates in Process Street? If so, why?
Yes. Because he’s really good at it and loves building & improving them.
Who else could Shawn build processes for that could lead to a lot of benefits?
- Simplexity
- Amaya
Are processes good for Jenny? Why?
Yes. First and foremost, consistent processes are good for everybody. But Jenny specifically does much better when she knows exactly what needs to be done and how to do it.
When she is left to forge her way through a one-off task, productivity can drop off drastically.

What are the differences between “templates”,
“checklists” and “subtasks”?
You can share a checklist with anyone you want by creating a Checklist Share Link.
The person you share it with will be able to complete the checklist, fill in form fields, upload files, and add comments; you don’t have to assign them, so they don’t even need a Process Street account!

How do ‘Checklist Share Links’ work?

What are variables?
Variables are an easy way of displaying ‘variable’ information that is unique to each checklist of a template. Variables can currently be added to text and email widgets.
For example, if you record a client’s email address using a form field, you could set up a sample email and then push their email address into the “To” field.

What are ‘Integration Links’?
You can create integration links to other apps using variables.
This lets you use the information from a template or checklist in custom searches. Integration links are web addresses that you’ve changed to use a variable.
For example, a google search for “star” has the web address:
https://google.com/?q=star

What does the ‘Multiple Checklists’ feature do?
You can run multiple checklists at once using the ‘Run multiple checklists’ feature. This is great if you want to assign checklists to various groups of people at once.
Examples could include assigning individual checklists to a team or assigning checklists to groups of 3 people for a class project.

What is “content locking”?
Content locking your public checklists lets you embed them on your own site, but capture emails before they can be used.
This can significantly improve your conversion rates (we have seen up to 18%), but remember, the power of the content lock should only be used for good!

What are “Stop Tasks”?
Adding a “✋ Stop” to a task in a template will turn it into a stop task. All tasks after the first stop task, and the checklist itself, are disabled and can not be completed until the preceding stop task(s) are complete.
Stop tasks stop a checklist at that point. Nothing past that point can be completed until the stop task is done. This simple little action turns basic checklists into powerful workflows.
Examples: Create “enforced order”. Create hand-offs between different team members. Disabled tasks until relevant. Break up checklists into stages.

What are “Dynamic Due Dates”?
Dynamic due dates let you easily adjust a task’s due date based on a varying factor unique to each checklist, like a date field or a task that has yet to be completed. You can set them based off 4 different triggers:
- Any date form field
- The completion of a previous task
- The checklist due date
- The checklist created date
