What is the purpose and steps in the supplier selection process?

A

Purpose = to ensure fair play in the selection of a supplier.

Stages are:

1 - Define requirements r.e. what you need to buy
2 - Identify suppliers
3 - Narrow down suppliers
4 - Issue the invitation to tender (ITT)
5 - Assess tenders / evaluate bids
6 - Negotiate / award contract

A

What are the stages in a negotiation process?

A

1) Planning - Establish rank, objective [MOSCOW], power (who needs agreement most, who has other options, who’s better at negotiating etc.), learn about social conventions if diff. culture, clarify escalation route if can’t resolve negotiation. Identify ZOPA and BATNA.

2) Discussing - Initial contact, establish rapport & set issues out, clear and balances dialogue to understand what parties want.

3) Proposing - Open positions & indicate flexibility e.g. “If.. would you..”. Interpret signals inc. body language. No commitments / concessions made yet.

4) Bargaining - Back and forth over issue - attempt to find optimum solution. Hard when there’s only one issue as usually movement on one issue linked to movement on another. Selecting issues of diff value can be helpful. Don’t give anything up without something in return. Tactics - Good guy / bad guy; violins; surprise; budget limit; future carrot; ultimatum; broken record; silence; being fair and reasonable or giving extreme demands.

5) Agreement - Confirm views / state final position and clearly document outcome e.g. email or report. State what’s been agreed and next actions.

6) Review - Outcome communicated to relevant stakeholders. When actions are completed they should be checked against agreement e.g. check list, report etc. Provides assurance to both parties. Identify any lessons learnt.

What is the process for critical chain scheduling?

A

1) Identify all activities, then schedule based on lengths and dependencies.

2) Remove 50% of the estimated duration for each activity (this time is put into a buffer at the end of the activity sequence).

3) Resource level each activity based on the space, staff and equipment available.

4) Based on any resource constraints, create the critical chain. The deadline will remain the un resource levelled deadline, allowing for flexibility.

5) Throughout the project, the PM will track progress - buffer is added / removed to activities.
