Scheduling
Once the tasks have been created the whole project can be scheduled with specific time-frames being given to tasks. These put together create the overall project by the deadline. The ability to consider dependencies used when scheduling, as well as setting and deadlines to keep the project on track.
Milestones
Checkpoints built into tasks so that the media production allows tracking of performance against a deadline.
GANTT Charts
A timeline schedule of tasks with the resources allocated to them. Uses blocks of colour to symbolise periods of time in a visual way.
Contingencies
A back-up resource; extra time that is allocated to a task.
Task Allocation
Project is broken down into its varied tasked and these can then be allocated to specific people working on the project.
Resource Allocation
Each task and the project overall, require specific resources. This feature allows the resources to be allocated to the specific tasks quickly and efficiently so that nothing is wasted and any gaps can be swiftly identified.
Report Creation/Printing
Allows communications to happen quickly and efficiently, reports allow information to be given to different members of the project easily so that they are aware of what their role is in the project. The feature allows easy integration of different projects aspects into one easy read document.
Spreadsheets
Project management can be carried out using spreadsheet software with the various cells in the spreadsheet allotted for task allocation and scheduling.
Production schedule
A production schedule is a timetable that allocated resources and processes to a project.
Starting with the final deadline for the project, you work backwards, allocating tasks, resources, contingencies and time to the various aspects of the project.
It is continually referred to and checked throughout the production phase. It allows the production team to monitor where they are in the production process and ensure they are on course to meet their final deadline.
The production team check what task is next and that they have the resources ready for it to take place.
Techniques to help you to work to a timescale/ have a production schedule/ stay on schedule
Individuals can be set targets
Staff/equipment/locations booked well in advance
Regular meetings with teams and individuals to ensure check schedule is adhered to.

What happens if you fail to work to a timescale/ have a production schedule?
Failure to meet deadlines can have serious consequences for the project
Deadlines are used to reduce the cost of the production
Use of deadlines allows people and resources to only be booked (and paid for)
when necessary
Within tasks there needs to be milestones (mini deadlines)
Logistics
Getting all the personnel, props, equipment and locations in the right place at the right time.
Scenarios of logistics that need to be planned when filming
Requirements of the project need to be analysed and resources allocated
Locations must be checked – completing a ‘recce’ were access and resources
are checked for suitability
Transportation of staff and equipment must be arranged as well as ensuring
personnel are cared for…
