PM - Project Management Concept Flashcards
What is project management.
Management of temporary task which has start and end parameters. This includes planning, budgeting, quality control and human resources
Who is the key personnel in initiating a project?
System Analyst
Project Manager
General Staff
What does system analyst do?
Identify and define problems
Formulate goals and decide appropriate solution projects
Conduct cost-benefit analysis
Propose solution to client
Schedule project duration
What does project manager do?
Oversees project plans
oversees project task details
Calculate budget
Trach and control project progress
What does general staff do?
Contributes to project objectives
Completes tasks
Provides Expertise
Briefly describe the flow of project management concepts.
Planning –> Scheduling –> Budgeting –> Tracking
What is done during planning?
1)Problems and objective are defined by system analyst.
2)Problem state document are formulated for the client to issue System Change Request.
3)Preliminary investigation are conducted. (Feasibility study)
4)Relationship between stated problems (current situation) and objectives (desired situation)
What is scheduling?
Design the tasks to fulfil the objectives and estimate the start and end period.
What are the 2 components involved in scheduling?
Task Scheduling
Resource Scheduling
What is Task Scheduling?
Start and end period of project activity (TIME)
What is Resource Scheduling?
Resources allocated to the activity period (people, task groups, machines)
Task Scheduling can be displayed by?
Gantt chart (Sendiri google what does it look like)
Benefits of Gantt Chart?
Graphically display time relationship between different tasks
Communication tool between parties to communicate on schedule and datelines
Purpose of Resource Scheduling?
No over and under-allocation of resources at any point of project. (Reduce costs)
Steps to draw Gantt Chart.
1) Identify tasks
2)Identify duration
3) Calculate total duration
4)Draw using common sense
What are the things to consider when allocating resources?
Scarcity of resource (resource rare or not)
Cost (Cost high or not)
Effectiveness of resources (Is the resources effective)
Efficiency of resources (When will the work finish with all those resources)
What are the examples of costs of a project?
Staffs
Technology
Software
Machines
Why project cost overruns?
Bad cost estimates
Bad forecasting
Bad project tracking
HR problems
What is budgeting?
Determine a budget based on:
1)individual material resources
2)work items over time
3) future costs
4) unexpected costs
What is tracking?
Tracking project status, Discover potential risks and execute project riisk management
What are the ways to improve tracking?
1)Forecast possible risks before it occurs using fishbone diagram
2)Strong and sound communication strategies
3)Experiences and reflection
Why is tracking important?
-Time constraint (To expedise the project)
- Cut cost (Might enter crash time= more money)
What is crash time
Shortening of project duration by reducing time of one or more critical project activities
What defines a successful project?
A project that produces product that are:
* supports and improve organisation status quo
* done on time
* within estimated budget
What contributes to successful projects?
Project planning, scheduling, budgeting and tracking
What are the main tools for project management?
Project Flow Diagram
Gantt Chart
Project Status Report
Project Outcome
