Assembly
The group of members at a meeting.
Business At Hand
The current business being delt with at a meeting.
Chair, Chairperson
The person in charge of conducting the meeting.
Consideration
To discus and decide on an item of business at a meeting.
Commit
To refer a motion to a committee.
Committee
A small group of people within an organization who have a specific task or project to complete.
Delegate
To give someone a task or job to be completed.
Floor
To have the “floor” is to have been recognized by the chairperson and have the right to speak before the assembly.
Germane
To be relevant and to relate to the pending motion or to the business at hand.
Maker Of The Motion
A person who makes a motion during a meeting.
Motion
A motion is a formal way for a member to bring an idea or item of business before the assembly. It is accomplished in the form of a “main motion.”
Nominations
The candidates who are selected by the members to run for officer or other positions within an organization.
Pending
The current motion or business before the assembly.
Presiding Officer
The officer in charge of a meeting. Normally the president.
Prevailing
To be on the winning side of a vote.
Question
When a motion as been made and seconded the chair makes a formal statement of the motion to the assembly by stating the “question.” Another way of saying “the vote,” as in “Are you ready for the question?” “Are you ready to vote?”
Ratify
To give formal approval for some action or procedure.
Second
To announce “second” once a motion is made in a meeting, is to indicate that you also support bringing the motion before the assembly for discussion. Many motions must receive a second in order to be discussed, or they die.
Sustain
To agree with and thereby support a decision made by the chairperson.
Recognized
To be given the right to speak by the chairperson. You must be Recognized before you can speak, except in certain situations. To be recognized you should stand and address the chair as follows; “Mr. President,” or “Madam President”.
Yield The Floor
When a member finished speaking, he or she “yields the floor,” or gives the floor back to the chairperson, by resuming his or her seat.
