What is a Task?
Tasks can apply to Contracts, Works Orders, Purchase Orders, and Inter-Depot Transfers.
Tasks give any of these functions “legs” to make their way outside of the office.
Example #1
A Task on a Work Order is assigned to a tech who can go onsite for a repair.
Example #2
A Task on a Contract is assigned to a driver who delivers the items on the Contract to the Site Address on the Contract.

What is an Action?
Actions extend the flexibility of MCS-rm by providing a way for assignments, to-do’s, follow-ups, etc. to be applied to various points in the application.
Actions originated as a function of CRM. You could create an Action to remind yourself to follow up on a Quote. Or you could create an Action for your manager to approve a Quote.
Now, Actions are available throughout RM. So you could similarly add an Action to have someone approve a Purchase Order.
Actions are organized using CRM Summary (more for sales reps) or Actions Maintenance (everyone else).

What is a Case?
Typically, this module might be used where a building Project/Job is being serviced by a number of the rental companies customers and the rental company would like a method of linking all day-to-day transactions together in one place.
This also provides a method of adding custom fields that could hold projected or estimated budgets and expenses for the projects.

What is a Work Order?
Work Orders are used in a variety of ways to manage work performed on an Item.
Common Work Order Types:
- Scheduled Maintenance
- Internal Repair
- Customer Repair
- Inspection
- Annual Maintenance
A WO summarizes a problem with an Item, or a process required for an Item.
Work is performed by a Resource (Technician, Mechanic, etc.).
The Resource adds Parts, Labor, and Notes to the WO to document what was done and what was required to perform the work.
Optionally, the Resource can add pictures, perform checklists, and capture signatures when paired with a Task.

What is a Quote?
Quotes are used to give an estimate for the sale or rental of equipment, cost for delivery/collection, etc.
Once a Quote is “accepted” by a prospect or customer, it converts to a Contract.
Quotes function almost exactly like a Rental Contract. The key difference is the lack of commitment between the rental agency and the customer or prospect. Once the commitment is made (“we have the equipment you need” and “we want the equipment you have”), the Quote is accepted and becomes a Reservation (Contract in Reserved status).

What is a Contract?
A Contract is an agreement between the rental agency and the customer to provide Items or Services on a specific date and a specific price.
The Contract might include rental, sales, and service items.
The Contract includes stages so users know where it is in the lifecycle of a contract:
- Reserved (aka Booked)
- On-rent (aka Live)
- Closed (aka Terminated)
- Complete (aka Closed)
A Contract may also be referred to as:
- Ticket
- Rental Ticket
- Delivery (typically with non-serialized items)
- Agreement
- Order

What is a Group?
A Group is the top level of the data structure for Items.
Every Item belongs to a Subgroup. Every Subgroup belongs to a Group.
The Group serves as the MAIN category for:
- Calculating Utilization
- Viewing Availability
- Reports
Key settings include:
- GL Account Mapping
- Rules and settings for Items
- Maintenance Schedules
GL Account Mapping on the Group level is the last to be considered. Subgroup is considered 1st.
Many other settings can be pushed down to the Subgroup or the Items.

What is a Subgroup?
A Subgroup is the middle (2nd) level of the data structure for Items.
Every Item belongs to a Subgroup. Every Subgroup belongs to a Group.
The Group serves as the SECONDARY category for:
- Calculating Utilization
- Viewing Availability
- Reports
