Licenses Flashcards
Cosmic Solutions wants to create an Experience Cloud site to support its local user groups. Most members of each local user group will need read-only access to an event calendar and should be able to update their personal information and open support cases. User Group leaders will need to be able to add events to calendars and run reports about user activities. User group leaders will access the site at least weekly, with some leaders more active in the site. User group members are expected to access the site one or two times a month. In addition, some of the site pages should be visible to individuals without them having to log in. What licenses should a data architect recommend in this scenario?
Group leaders will need the Customer Community Plus license, which gives them read/write access to calendars and the ability to run reports. User group leaders who access the site more frequently will require member-based licenses. Users needing access less often should have login-based licenses, as this license type is more economical. It is possible to switch users between these two license types, if their monthly login pattern differs to that expected. The profiles and permission sets need to be aligned between license types so the experience remains the same, and the user will be unaware of the license switch.
Other group members will need the Customer Community license so they can log in, maintain their information and open support cases. As the group members are expected to access the site infrequently, a login-based license would be appropriate.
Some pages of the site can be exposed publicly, and visitors accessing these pages will not need a license.

Cosmic Insurance provides life insurance, both direct to customers and via a financial advisor network. The financial advisor network collaborates with Cosmic Insurance using a partner site. Cosmic Insurance would like to collaborate with its financial advisors on campaigns, leads, and opportunities. It has developed custom commission functionality that has used 15 custom objects. It also has purchased access to an AppExchange app for its financial advisors to use to help generate quotes. This app contains 20 custom objects in a managed package.
There are three groups of users that require frequent access to the partner site, financial advisors, admin assistants and the marketing managers that work for financial advice firms.
The financial advisors require access to manage leads, accounts, contacts, opportunities, custom commission functionality and the quote AppExchange app.
Administrative Assistants need access to maintain and report on accounts and contacts but do not need access to any other sales or custom objects.
The marketing managers will be managing campaigns and leads. What licenses should a data architect recommend in this scenario?
As the financial advisors require access to sales objects, including campaigns, and access to a custom app with more than 10 custom objects, they will need Partner Community licenses with the External Apps SKU. The financial advisors are expected to login daily, so member-based named login licenses would be required. Although the custom objects in managed packages do not count toward the custom object allocation, the requirement for the 15 custom objects in the custom app means that a Channel Account license would not be sufficient as it only allows 10 custom objects.
The marketing managers would require a Partner Community member-based license to manage campaigns and leads. As they do not require access to the custom app, the Partner Community license with the PRM SKU is sufficient to provide access to the sales objects such as campaigns, leads, accounts and contacts that they would be working with.
As the admin assistants only need access to accounts and contacts, Customer Community Plus member-based licenses would be sufficient. Customer Community Plus licenses also allow user access to reports and dashboards and the use of advanced sharing features to ensure the appropriate records are visible.

Cosmic Solutions plans for its sales team to use Sales cloud functionality to manage leads, accounts, contacts and opportunities. It also plans to extend Sales cloud with custom functionality to manage sales commissions for its commission based sales teams. Building this functionality will require around 4 custom objects. After the first phase of the project is implemented, it has plans to extend the functionality to manage yearly bonuses, which will require additional development and custom objects to be available. It has also plans to develop a custom app for managing employee entitlements. The custom app would have 5 custom objects and would be used only by the HR team. The requirements of the app include access to standard objects such as contacts and tasks. It should also have calendar, reports and dashboard functionality. The HR team does not need access to sales cloud objects. The data architect needs to recommend a suitable combination of licenses that would be required for the two groups of users.
The Sales team will require Sales Cloud licenses in order to access the lead, account, contact and opportunity objects. The custom development for commission and bonus management will require custom objects. Sales cloud licenses with enterprise edition, allow for use of up to 200 custom objects, that can be used to extend Sales cloud functionality or create custom apps. In order to develop a custom app for internal users who do not need access to Sales Cloud functionality, Lightning Platform Starter or Lightning Platform Plus can be used. These contain a Salesforce Platform License which provides access to a custom app and core platform functionality including accounts, contacts, assets, tasks, events, reports, dashboards, documents, and custom tabs. Lightning Platform Starter provides access to 10 custom objects and Lightning Platform Plus provides access to 110 custom objects. In this case Lightning Platform Starter would be sufficient.
Cosmic Kitchen and Bath is a franchise-based organization located in Orlando, Florida. It has over 200 franchisees nationwide. It is planning to implement Salesforce to manage internal sales processes including managing both the lifecycle of franchise leads and passing customer leads to the franchisees. It also runs campaigns and the marketing team of 3 people will need to have access to campaign management. It would like to give its franchisees access to an Experience Cloud site on which they can collaborate on Leads, Opportunities, Campaigns, and Quotes, as well as providing the franchisees the ability to run reports and dashboards. Franchisees will be expected to access the site at least several times a week, if not daily. The data architect needs to recommend a suitable combination of licenses that would be required for the two groups of users.
For internal users, Sales Cloud licenses would provide access to sales objects, including Leads, Accounts, Contacts, Opportunities, Campaigns, and Quotes.
The marketing team will need to have Marketing User feature licenses to have access to campaigns.
For franchisees, a business-to-business site is required. Salesforce provides two options that would be suitable in this situation: a Partner Community license or Channel Account license. Both of these Experience Cloud licenses provide access to Sales objects and the ability to run reports and dashboards. The Channel Account license has the same permission and feature access as the Partner Community license, but it is priced per partner account. In this case, Partner Community licenses would be sufficient. As the franchisees are expected to log in frequently,member-based licenses should be used.
Cosmic Adventure Gear is a nationwide retailer of outdoor clothing and footwear. It plans to use Salesforce to manage interactions with customers via a number of support channels, including phone, email, website and messaging. In order to reduce the time to resolve tickets and onboard new staff, it would like to capture existing knowledge to provide guidance and access to relevant information to agents when handling cases. It would also like to give its **retail customers access to a portal **that allows them to view member special offers and FAQ articles and raise support tickets. It is expected that customers will log in to the portal three or four times a year. The data architect needs to recommend a suitable combination of licenses for this use case.
In order for the Cosmic Adventure Gear support team to manage cases in Salesforce, Service Cloud licenses are required. The support team can use Salesforce Knowledge to create articles related to the resolution of various types of issues. Knowledge can also be used for building up answers to frequently asked questions, and these articles can be exposed both internally and externally. The users that will be creating articles will require a Knowledge User feature license. Users that will only access and view articles do not need an additional license as read only access to Knowledge articles is included in a Service Cloud license. In order to provide self-service capabilities for customers to browse FAQs and log support tickets, Customer Community licenses can be used. As customers are expected to login infrequently, login-based licenses can be purchased.
Cosmic Repair Solutions offers repair services for various types of household and industrial machinery in the United States. It has partnership with various companies that have repair centers in the country. The company’s owner would like to build an Experience Cloud site for its customers and partners. There are 30 partner companies that require access to the site. Each partner company has up to 40 users who mainly need to use the site to view, edit or create campaigns, leads, opportunities, reports, and dashboards. On the other hand, customers only need to be able to view accounts, purchased assets, related documents, and records of an external object that represent sales orders in an ERP system. They do not need to use the site to manage their cases. The company’s data architect needs to suggest a suitable combination of Experience Cloud user licenses for this requirement.
The company’s requirement can be met by purchasing External Apps and Channel Account licenses. The External Apps license can be used when external users of an Experience Cloud site require limited features, such as the ability to view accounts and assets, ‘Read Only’ access to documents, access to view, create or edit records of external objects, etc. In this case, it can be assigned to the company’s customers. Other customer licenses, such as the **Customer Community license, are not suitable since access to cases is not required. **
The Channel Account license is used when a company needs to buy a specific number of licenses for its partner accounts. Since the number of partner companies and the number of partner users associated with each company are known, Channel Account licenses can be purchased for partners. This license type offers the same features as the Partner Community license.
