LESSON 6: LETTER DELIVERY
Occasionally your clients work order will include printing a letter for the homeowner, to be left at the front door in an sealed envelope. Place the envelope in the crack of the front door and take a photo of it at the property.
If the occupant happens to open the door, hand them the envelope and let them know that their mortgage company would like them to call.
Under no circumstances are we to take photos of people, especially children.
When leaving a clients letter inside a sealed envelope at the front door, write the word “Confidential” on the outside of the envelope. This must be clear and legible handwriting. You can purchase a “Confidential” stamp from an office supply store which is even more professional. You can even purchase long envelopes with the word “Confidential already on it if you prefer. If you happen to have other professional looking envelopes in your supply, you can use them as well. Envelopes must never contain the name of the bank or mortgage company or any other identifying marks or information other than the word “Confidential”.

Where to place the letter:
Stick the letter in the crack of the door.
Open Faced Letters:
It is against the law to tape an open faced, non-sealed letter on a debtors property. Doing this could not only cause immediate termination but it can also result in a lawsuit by failing to comply with the laws of the FDCPA.
SEALED Envelopes :
All letters to the homeowner from the client must be in a sealed envelope.

OPEN FACES LETTERS:
ot to be confused with an FTV (First Time Vacancy) Posting or any other Vacancy Posting.
These type of postings MUST be open faced. A Vacancy posting is not a letter to the homeowner asking them to call the creditor. It is a posting that provides public information about the vacancy status that the property was found in.
We are not debt collectors but we work for the banks who are classified as debt collectors when it comes to mortgages. Therefore we must follow the same FDCPA rules as our clients do. We are never to leave a letter at a door before 8 AM and not after 9 PM.
Fill out the door hanger using the information from the Info/Comments tab of the work order, and write the name of the company or person to contact, along with their phone number.

What information you should fill in:
The Info tab on your cell phone app will provide you with the information and phone numbers to fill in, or which letter to leave at the door. These letters described in the instructions can be found on InspectorADE at the Resources Tab. You should download several copies of each type of client letter to have a supply on hand.
Resources to get your letter to leave at the property:
There are one of two ways to get your letter to leave at the property.
InspectorADE.com -> Resources Tab
Print the door card/letter from the inspection within InspectorADE
If the inspection on your InspectorADE is blank, that means you need to print one from the Resource Tab.
Door hangers and/or letters can be left on the gate but never in a mailbox.

If a property has a chain link fence you should…
Jump the fence in order to place the letter on the front door.
Fold the envelope and place securely in the fence some how.
Place the envelope in the mailbox instead.
Take a photo of the fence showing why you were not able to leave the letter on the front door.
Give the letter to the next door neighbor.

If a dog prevents you from getting out of your vehicle to deliver a letter you should…
Take a photo of the dog showing why you were not able to place the letter on the front door.
Call animal control and turn the dog in.
Shoot the dog as long as you have a gun permit.
Run over the dog with your vehicle.
