What types of external data sources can you link to and how can Access use the link?

A

You can link to other data sources such as other databases, text files and Excel workbooks.Access can use the link as if it were a table. Depending on the source and the way the link is created you can edit the data in the linked table and create relationships. You cannot change the design of the external data by using the link.

What is the difference between linking and importing data?

A

When you import data, you create a copy of the data in a new table in the current database. Subsequent changes to the data source will have no affect on the imported data and changes to the imported data do not affect the source data. Once the data is imported you can use the data without connecting to the source.
When you link to data, you create a linked table in the current database which represents a live link to the existing information stored elsewhere. When you change data in the linked table, you are changing it in the source. When the data changes in the source, it changes in the linked table. You must connect to the data source whenever you use a linked table.
Note: You cannot edit data in an Excel worksheet by using a linked table. As a workaround, import the source data into an Access db and then link to the database from Excel. (there is more information about this avail).

How do you import or link to external data? What are 10 possible sources?

A

On the External Data tab, in the Import and Link group, click on one of the available data sources and follow the instructions in the dialog boxes that appear. Possible sources include: Excel, other Access dbs, ODBC database, Text file, XML file, SharePoint list, Data Services (web), HTML document, Outlook folder, dBase file.

How do you use a Web service to create a table?

A

On the External Data tab, in the Import & Link group, click More and then Data Services. Click Install new connection (if not already connected). Select the connection file you want to use and click OK. In the Create Link to Web Service Data dialog box, expand the connection you want to use. Select the table you want to link to. Optionally, type a name for the linked table int he Specify link name box. Click OK.
