Sales Process - Pre Phase
Everything that affects the client experience before they begin the sales process. Includes things like
- the way your salespeople prospect
- the way the design center looks
- the way you market
- the way you dress and present yourself
Sales Process - Introduction
4 steps to the initial introduction:
- Meet and Greet
- Pre-qualifying questions
- 4 gates discussion
- Lead Collection (Client Info)
Sales Process - Discovery
Discovery Meeting is held separately from the introduction and involves discussing information about the clients current and desired home.

- Site Inspection
- Design Recommendation
- Design Center Walkthrough
Sales Process - Proposal
The proposal is the moment you present your work to the client and involves two steps
- Preparing
- Presenting - Good, Better, Best
Sales Process - Close/Receive Deposit
Finally, the Client will agree to the proposal or explain their reservations. Then the salesperson will correct any remaining issues and take a deposit. At this point the sales process is complete the salesperson returns to their other daily duties.
Pre- Construction - Check Sales Paperwork and Turn into Job
New Home Consultants should provide all necessary paperwork before a sale can be turned into a job. The list of items needed before a sale can become a job are as follows:
- Green Receipt (if receipt book is used)
- Client initialed Site Plan
- Client Initialed Floor Plan
- Client initialed Elevations
- Client Signed ATP
- Client Signed RFQ
- TOP Report
- Client Initialed Inclusions List
- Quotes for any Special Items on RFQ
- Confirmation of Regulatory Reports
- Drafting Checklist
- Sales Job Submission Checklist (GJ way of Selling)
- Covenant Specific Requirements
- Estate Plan of Development & Compaction Report
- SP, DP, or RP (Lot Plan)
- Proof of Land Ownership and Funds
After these items have been finalized and confirmed, the Franchisee should make it a priority to turn the sale into a job so that the Job Admin can begin processing it.
Pre- Construction - Request Reports and Preliminary Plans
The Admin’s role takes over at this point. The following items will be taken care of next:
- Order Reports - Soil, Contour Survey, 811
- Order Preliminary Plans (Site, Floor, Elevation only)
- Admin introduction to customer
- Send Pre-Contact Letter
- Add paperwork to relevant sections in the job file
- Fill out necessary information in “job details’ in gj 5
- Create Initial Deposit Claim in software
- Receipt the initial deposit
- Annotate all dates on the front cover of the job file
- Bank deposit
Pre- Construction - Client Finalizing Preliminary Plans
At this point, the Admin has received all the preliminary reports and plans. the following items take place during this phase:
- Plans are checked by admin, franchisee, and NHC
- Soil report and Contour are checked by franchisee
- Prepare 2 copies of the plan to be signed and dated
- NHC sets the time to sign change orders with the client
- Update Job Stages and dates in Job details
- Annotate all dates on the front cover of the job file
Pre- Construction - Contract Signing
Admin has received the signed and dated prelim plans and change orders from the NHC. At this point the franchisee should review the plans, specifications, building contract, and change orders for approval.
- New Home consultant signs contract w/client
- Franchisee signs the contract last
- Franchisee submits the BOM
- Admin distributes documents to client and bank
- Request any quotes
- Update job stages
- Annotate dates on the folder
Pre- Construction - Working Drawings/Engineering/Color Selection
It’s time to request full working Drawings and engineering. Pre-fill the color selection in accordance with the specifications and plans.
- Call client to inform them you ordered the drawings
- Send copy of color selection to client
- Send color consultant the color selection copy
- Color consultant has appt with client
- Client will sign off on color selection
- Order energy efficiency report
- Estimator approves estimate ready for POs
- Update job stages
- Annotate dates on folder
Pre- Construction - Building Permit Application
the Job Admin prepares and sends out the building permit application. Call the client and inform them about any outstanding items before the permit is received.
Pre- Construction - Building Permit Approval and Pre Site Commencement
Now we review the approved building plan, estimate, and any remaining admin paperwork. Once all documents have been received form the client, the site will be prepared and the site file provided to the supervisor. The client will then sign the ATP and the job shifts to the supervisor.
Construction - Site Commencement
Communication shifts to the supervisor who reads through the entire site file. Make sure they know the specifications of the house.
- Read the file
- Organize an on-site commencement w/Client
- Discuss variations/Change orders on site
- Discuss owner supplied items
- Discuss when the owner needs to be on site
- Reaffirm that supervisor is now the point of contact
- Sign off on-site commencement checklist in-app
