A

It is a location identifier that helps organize proper locations and their information- it is important because we need to have the MOST pertinent information on the location profile to be able to obtain the records in the fastest possible manner.

  1. What is Go- To? Are you tracking your Good Loc Keys vs Bad Loc keys for your region? If not- why?
A

It is a Loc Key that is designed to be the most desirable choice when we have multiple choices for 1 location to have the request out to- we can organize bad profiles to GO TO the good ones if we are setting up those Go To’s in the record collection.
If you are not tracking your Loc keys- for your region, I advise you to start… It will only help you in the end because you will have a list of all the Loc Keys, and if they are bad locations, and what the Go-To’s should be on them to help the requests get served properly. Also remembering to Quarantine the BAD LOC KEYS to ensure that they cannot be used as Go-To’s

We ask to get that rejection in writing faxed or emailed to us, if they say it has already been done, we ask- in which manner, and if it was to the (888) fax, we suggest they fax it to 310-618-5443

  1. How is a Civil Subpoena different than an Authorization request?
A

A subpoena is a request that is signed and taken through the courts to obtain legal backing to supply the requested records- and Authorization is a request that is backed by the patient themselves and has authorized us to obtain their records (as long as it is valid)

A

400-E05- Left Message- Because we can 95% of the time always find some sort of supplemental information and use a better code- ( Occasionally there will be those random requests when we can’t)

  1. Why is it important to update the Location Profiles?
A

So we can ensure all the most current information about the location is supplied so OE and OA can serve the requests accordingly. Cannot serve requests to bad profiles- so we need to do our part and take the time and make sure we are cleaning these profiles and setting up Go-To’s and such.

  1. Why is it important to ALWAYS have a custodian selected on orders?
A

As long as a custodian is selected and the location profile communication settings are set up to fax or email.. and we supply that information in the record collection custodian- Next will work with us and will automatically send out demand letters, and if we have an email in the delivery email addresses- the system will do more work for us.

  1. What’s the difference between View Open Order Locations and View All Open Orders?
A

View all Open Orders= All the orders we currently have open to that specific Loc Key (including things for OE/OA/CS etc..)
View Open Order Locations=All orders that are currently open in FE view to be worked to that specific Loc Key ( Very useful for when calling a location and getting multiple touches/statuses)

  1. What is the View Locations tab used for?
A

Identifying all the requests the patient has out to different locations- it is very useful for determining duplicates and for seeing if we have multiple requests out to the location (meds/bills/films separately)

Missing- Missing a CNR/ Missing an Affidavit
Follow up/Demand Letters- Search by state then sort by document type

Open up multiple tabs to work other orders while on hold, search for correspondences to do, update the custodian if there is not one selected ( if no information was provided to you- search Google, we always want to have a custodian selected, view open order locations to see multiple patients to obtain status on, etc..)
