This role involves a strong understanding of the tradeshow environment. Can you describe your experience in this area?

A

While I don’t have direct tradeshow experience, my background in project coordination and client management has equipped me with transferable skills that are highly relevant to the tradeshow environment.
At BNP Media, I worked closely with sponsors to ensure their content and messaging reached the right audience. This experience aligns well with managing sponsor expectations and deliverables in a tradeshow setting.
Additionally, at neteffect technologies, I coordinated complex projects involving multiple stakeholders, including third-party vendors. This required me to manage timelines, communicate effectively across different teams, and ensure all parties met their commitments - skills that are crucial in a fast-paced tradeshow environment.
I’m a quick learner and I’m excited about the opportunity to apply my project management and client relations skills to the tradeshow context. Q

Tell us about a successful project where you had to manage client expectations. How did you ensure their satisfaction?

A

ELGI: At Neteffect Technologies, I managed a large six-month project where we had to overhaul a client’s network infrastructure. Midway through, the client brought in new management, who was unhappy with the project costs and wanted to cut corners. To manage their expectations, I worked closely with our internal team and the client, providing a detailed audit of the work completed, explaining the value of our services, and showing what was left to be done.

I held multiple meetings with the client to walk them through the cost analysis, the long-term savings they would achieve, and the risks of reducing the scope. By maintaining open communication, being transparent, and providing them with concrete data, I was able to help them understand the project’s full value. We successfully completed the project, and the client was so satisfied with the results that they expanded our work to other locations.

Q

Describe your experience with sponsor fulfillment and managing sponsor relationships.

A

While I don’t have traditional event sponsor fulfillment experience, my role at BNP Media involved similar responsibilities that I believe are directly applicable to this position at EEG.
At BNP Media, I was deeply involved in meeting sponsors’ deliverables through various methods. I managed the placement of sponsored ads in high-traffic areas of our website, ensuring they ran for the agreed-upon duration. I also oversaw the publication of sponsored content, including articles, podcasts, and videos on our platform, tailoring the content mix based on each sponsor’s package. A key part of my role was tracking the online traffic of this sponsored content using industry best practices and providing sponsors with data-driven results of their content’s performance.
My experience also extended to broader aspects of sponsor relationship management. I made it a priority to maintain regular communication with our sponsors, proactively addressing their needs and concerns. When sponsor content didn’t perform as well as expected, I didn’t just report the numbers – I worked closely with the sponsors to adjust our strategies and improve engagement.

While my experience has been in a digital media context rather than events, I believe the core skills of managing expectations, delivering on commitments, and nurturing sponsor relationships are directly transferable to the event sponsorship world. I’m excited about the opportunity to apply these skills to in-person event sponsorships at EEG and to learn more about the unique aspects of fulfillment in the event space.

Q

Prioritizing completing tasks when working on multiple projects at once ?

A

I prioritize competing tasks by staying highly organized, communicating clearly with stakeholders, and understanding the urgency and deliverables of each project. At Neteffect, I consistently manage multiple projects, each with complex scopes and unique timelines. I maintain detailed notes and an organized schedule to get a clear view of my workload and upcoming deadlines. Recently, I was handed a new project to manage on top of an already busy schedule. I reviewed the project in detail, assessed whether I had the bandwidth, and communicated a realistic timeline to the stakeholders. By setting clear expectations, I ensured that both new and existing projects stayed on track.

Q

A time i missed a deadline

A

At neteffect we were working on a complex project with a tight deadline when unforeseen issues arose with a 3rd party, causing significant delays in our timeline. As soon as I realized we were at risk of missing the deadline, I communicated the situation to all stake holders and my manager explaining the reasons for the delay and providing an updated timeline.

I worked with my team to prioritize tasks and explore alternatives to speed up certain processes. Although we missed the original deadline by a few days, our transparency and proactive approach kept the client informed, and they appreciated our efforts to minimize the impact.

From that experience, I learned the importance of early risk assessment and contingency planning. Now, I always build in buffer time and communicate potential risks earlier to avoid surprises and manage expectations more effectively.

Q

This role requires managing the invoicing and payment of all sponsorships, as well as conducting final billing reviews with clients. Can you describe your experience with financial management in your previous roles, and how you ensure accuracy and timeliness in financial processes?

A

At sylvan learning Center, I was in charge of billing all new clients and all monthly clients. If there was a client who needed to use a loan to pay i would assist them in the loan approval process. We worked a lot of our contracts for payments in docusign. I also would run the budget of the center making sure our staff to client ratio was profitable. I also am in charge of budgeting at neteffect. If the engineers time seems to be going over what we originally quoted them i would contact the client and discuss how they would like to proceed. I also would work with the sales team on finding the best pricing for equipment used.

Q

EEG operates programs in more than 50 countries, which may require adapting to different cultural norms and business practices. Can you share an experience where you had to work across cultural boundaries or adapt your communication style for different audiences? How would you apply this experience to managing international sponsors or exhibitors?

A

At neteffect a lot of our clients have overseas locations or locations across the country. I do a few things to ensure this is a smooth relationship. I always send out meeting notes with clear action items. I find their preferred communication method and adapt to their time zone. For example we have a client where the engineer lives in Ukraine. The best time to communicate with the engineer and do work with minimal impact is Fridays between 12AM -4AM. We always plan in advance when these windows are needed so it is not surprise and we adapt our schedules to make it work.

Develop sponsor packages

A

While I haven’t directly created sponsorship packages before, I would approach this task by leveraging my experience in project management and client relations. Here’s how I would tackle it:

Research and Analysis: I’d start by thoroughly researching our past successful sponsorships and industry benchmarks. At BNP Media, I analyzed web performance data to provide actionable insights, which is a skill I’d use here to understand what has worked well in previous events.
Stakeholder Input: I’d consult with our internal teams and past sponsors to gather insights on what they value most. This is similar to how I conducted on-site visits at BNP to assess resources and review project impacts.
Tiered Offerings: Based on this information, I’d create tiered sponsorship packages to cater to different budget levels and objectives. This is akin to how I managed project budgets and financial constraints at BNP, ensuring options for various stakeholders.
Clear Value Proposition: For each package, I’d clearly outline the benefits and expected ROI. My experience in providing regular project updates to senior management has honed my skills in presenting complex information clearly and persuasively.
Customization Options: I’d include some flexibility for customization, drawing on my experience in managing client expectations and resolving issues to enhance satisfaction.
Data-Driven Approach: I’d incorporate data-driven elements into the packages, such as guaranteed visitor numbers or engagement metrics. This aligns with how I used analytics tools to provide insights for project decision-making.
Feedback and Iteration: After implementing the packages, I’d gather feedback and analyze results to continuously improve our offerings. This reflects my approach to implementing project management best practices and optimizing processes for efficiency.

Q

Working with Third Parties

A

At Neteffect, many projects required coordination between various teams, including our engineers, the client’s in-house team, and third-party vendors. One notable example was when we managed a client’s data storage migration, which involved tight deadlines and multiple stakeholders. To ensure alignment, I organized and led weekly cadence calls with all parties to discuss the project timeline, provide status updates, and address any concerns.

I used PowerPoint presentations to clearly outline progress and expectations, ensuring everyone was on the same page. While coordinating with third-party engineers presented communication challenges, I remained proactive, adapting to their schedules and consistently following up for clear, concise updates. By maintaining open and organized communication, I kept the project on track and ensured a smooth transition despite the complexities.

Q

Difficult client or stakeholder

A

Halfway through a large project, our client’s primary point of contact stopped responding, and we learned that the company had been bought out by new management. The new leadership wasn’t happy with the project’s cost and wanted to terminate the contract. I collaborated with Sales, the lead engineer, and our company president to create detailed spreadsheets outlining the work completed, upcoming deliverables, and a cost analysis showing the long-term savings the project would bring. I led several 1:1 meetings with the client, explaining the value in detail. After persistent communication and addressing their concerns, we not only completed the project but also onboarded them for ongoing tech support, securing a long-term partnership
