What are the Steps in the Planning & Investigation Stage?
- Study team created consisting of specialists from interdisciplinary departments.
- Study team evaluates current system (preliminary investigation) with a broad viewpoint of the entire system.
- Study team writes preliminary investigation report: objectives, problems, possible solutions, and course of action.
- Steering Committee review report and decide to 1) do nothing, 2) perform more preliminary investigations, 3) proceed to next stage of formal systems analysis.
Steering Committee = governing body of whole system development process.
What are the Steps in the Analysis Stage?
1) Understand Organisational Goals: Top management system goals = SR/LR performance of company. Operating management systems goals = daily, weekly and monthly performance of departments.
2) System Survey: detailed investigation of current system to find problems. Gather data.
3) Data Analysis: find & suggest possible solutions in final systems analysis report which Steering Committee deciding whether to proceed or not.
4) Feasibility Evaluation: Study team investigates practicality of potential solutions. Technical/operational/schedule/legal/economic feasibility.
If Steering Committee approves feasibility, move to next stage.
What are the Steps in the Design & Acquisition Stage?
1) Study team designs general features of new system: output (who needs what outputs?), process design (how outputs will be provided), input (what must be collected to satisfy output & processing requirements?).
2) Prototype system created. Simply description of interface, blueprint. Study team receives feedback, repeat design until satisfied.
3) Study team writes system specification report to Steering Committee.
4) Steering Committee decides how to develop system. 1) Make from inside company, 2) Outsource, 3) Purchase prewritten software. 2 & 3 most common.
5) Steering Committee create Request for Proposal (RFP) based on systems specifications report and invite appropriate vendors to submit proposals.
6) Vendor graded through point-scoring analysis before chosen.
What are the Steps in the Implementing, Follow Up, and Maintenance Stage?
1) Vendor works on developing new system & management need to do Change Management (employee jobs & responsibilities).
2) Vendors use Gantt Charts (time flow of each activity) and Program Evaluation and Review Technique (PERT) (list and time of each activity).
3) Vendor Monitors Performance and write post-implementation review report for Steering Committee and handover complete, new system.
4) IT staff monitor & modify new system: ensure system works intendedly & updates. Maintenance constant work & costs.
