2.1 What are the different plans and the apps within each plan?
The following is every plan offered by Microsoft and the apps that are included with each:
(i) Customer Engagement Plan • Sales • Customer Service • Project Service Automation • Field Service • Microsoft Social Engagement • PowerApps
(ii) Unified Operations Plan • Finance and Operations • Retail • Talent (Attract and Onboard apps) • PowerApps
(iii) Dynamics 365 Plan • Sales • Customer Service • Project Service Automation • Field Service • Microsoft Social Engagement • Finance and Operations • Retail • Talent (Attract and Onboard apps) • PowerApps
(iv) Apps That Can Be Purchased Individually (MSE & FO cannot) • Sales • Customer Service • Project Service Automation • Field Service • Retail • Talent (Attract and Onboard apps) • Microsoft Relationship Sales (LinkedIn Sales Navigator) • PowerApps
(v) Microsoft Dynamics 365 Business Central.
This is the edition for smaller businesses who have outgrown Microsoft Excel, but do not need the full functionality of the enterprise apps of Microsoft Dynamics 365. Unlike their enterprise counterpart, there is no on-premise version and is only available on the cloud.
2.2 What are the licence types? What actions might a user perform under each plan?
(i) Full User
The full user is allowed to use the full functionality of Dynamics 365 and is only restricted by their security role.
(ii) Team Member User – Unified Operations Applications
The team member user in the unified operations plan can perform the following actions:
• Record time
• Record expenses
• Manage personal information
• Manage direct employee activity in Human Resources
• Create requisitions
• Create or edit items related to quality control, service order and departmental budget
• Approval of time, expense and invoices
(iii) Team Member User – Customer Engagement Applications
The team member user in the customer engagement plan can perform the following actions:
• Edit accounts, contacts, activities, tasks and notes
• Record time and expense for Dynamics 365 for Project Service Automation and apply for a project
• Set up and manage the knowledge base
• Access to Interactive Service Hub
• Update personal information
• User reporting and dashboards
• Edit custom entities, except if the custom entity is related to another entity for which access is not granted
• Participate as an end-consumer of Dynamics 365 services including response to survey or apply for a project
(iv) Dynamics 365 for Operations Activity User
The Dynamics 365 for Operations Activity user can perform the following actions:
• All team member authorizations in the Unified Operations applications
• Approve all activity related transactions
• Create or edit items related to warehousing, receiving, shipping, orders, vendor maintenance and budgets
• Operate a point-of-sale (POS) device, store manager device, shop floor device or warehouse device
(v) Dynamics Device User
The following applications offer device licensing: Sales, Customer Service, Field Service, Finance and Operations and Retail. They offer the same capabilities as a full user, except that the license is associated to a device instead of a person. Under this case, it would not be possible to know which user performed which actions.
This licencing type is used when multiple users share one device. An example of that would be a computer used by an entire team for training purposes.
3.1 What considerations need to be made before deploying Dynamics 365?
Microsoft has developed many best practices when it comes to implementing Dynamics 365. Here is what you should really think deeply about before deploying Microsoft Dynamics 365 (MCSSNLSP):
1) Migration: How do you plan to get your data?
2) Customization: Is there any business process that is not supported with the standard features of Dynamics 365?
3) Storage: How much storage is needed now and in the future?
4) Security: Which users require which level of access? Is there any particular fields that should be further restricted?
5) Number of instances: Do you need an instance solely for development and another for customization?
6) Licenses: How many licenses are needed, which type of user licenses will you need and which apps and plans is best for the organization?
7) Single Sign On: Do you plan to use online accounts or do you need to link them to accounts stored on active directory (on-premise)?
8) Project team: Who will be part of the project team? Do you need a Microsoft Partner to guide you through the process?
3.2 Briefly describe a tool that can be used to implement Dynamics 365
Microsoft Sure Step is a software developed by Microsoft to help Microsoft Partners implement as effectively as possible Dynamics 365. However, it is most importantly a project management methodology. It is only available to Microsoft Partners and the most recent updates are not publicly available.
1) The first step when you create a project in Microsoft SureStep is to select which applications or plan your client will be implementing
2) Then, you can select which project management methodology your team is preferring (Standard, Rapid, Enterprise, Agile and Upgrade)
3) Once you enter that information, Microsoft SureStep will automatically generate a project plan including phases and steps that need to be done in which order and a ton of document templates you can use for your project
4.1 What are the methods to Import Data in Dynamics 365?
- Import Data Wizard
- Programming using Microsoft Dynamics SDK
- Third-party tools, e.g. scribe
- Data loader service
- On-premise to online conversion service
4.2a Describe the circumstances in which the Import Data Wizard might be used
The Import Data Wizard is used to import Microsoft Excel files in .CSV format. This is the best tool for small companies with a small amount of data that has been cleansed (I.e.: the data in the files is up to date and relevant) and probably never used an enterprise software before.
4.2b Describe how to use the Import Data Wizard (PRACTICAL)
- Download the template for data import by navigating to Settings -> Data Management -> Templates for Data Import and select the entity for which you want to get a template
- Copy the information in the relevant columns of the template which will be mapped to a field in Dynamics 365
- Import the file by navigating to Settings -> Data Management -> Imports -> Import Data. Select the file and click on Next. Since you are using a template, Dynamics 365 will do the rest automatically for you.
4.3 Describe the circumstances in which the Data Loader Service might be used
The Data Loader Service is meant for companies who have lots of data (if you have millions of records, this is for you) and have their data hosted in Microsoft Azure. This is part of the Microsoft Lifecycle Services.
4.4 Describe the CRM On-Premise to Online Migration Approach
The on-premise to online conversion service is meant for on-premise users of Microsoft Dynamics CRM 2011, 2013 or 2015 who wish to migrate to Dynamics 365. (You need to know the p15 chart by heart for the examination).
5.1 How do you purchase a subscription?
1) Subscription are managed through the Office 365 Admin Center (portal.office.com/admin) and from there you can navigate to Billing -> Subscriptions. That’s also where you can purchase a subscription directly from Microsoft
2) The other two methods to purchase Dynamics 365 is to convert a 30-day trial into a paid subscription on the Buy Now button of your trial instance
3) purchasing it via a volume license agreement with Microsoft.
You don’t need Office 365 to purchase Dynamics 365, but they go so well together that it is definitely a great idea for an organization. Moreover, if you have a volume license agreement, Microsoft is known to give customers a multi-product discount if you purchase multiple solutions from them (Office 365, Dynamics 365, Power BI, Azure, etc.). You can also purchase the license from a Microsoft Partner.
5.2a What are the conditions if you choose to convert your online subscription to an on premise or partner hosted solution?
If you wish to convert your online subscription to an on-premise or partner hosted solution, there is usually no cancellation fee due to the Power of Choice program. Under the program, you have 30 days to host your data on your servers or on a partner’s server or change your mind.
5.2b How do you cancel a subscription?
If you want to cancel your subscription to Dynamics 365, you will have to contact billing support. Depending on the contract signed with Microsoft, there could be a cancellation fee. This will not affect other Microsoft subscriptions you have.
5.3 How do you purchase add-ons?
If you want to purchase additional storage, instances of Dynamics 365 or more Microsoft solutions (such as Microsoft Flow or Microsoft PowerApps), you can do so in the Office 365 Admin Center.
5.4a What steps do you need to follow when creating a new user? (PRACTICAL)
The actual user itself is created in the Office 365 Admin Center. You can navigate to User -> Active Users -> New User
5.4b What are the Office 365 user roles and their associated privileges?
User - won’t have permissions to the Office 365 admin center or any admin tasks
Global administrator - this user will have access to all features in the admin center and can perform all tasks in the Office 365 admin center
Customised administrator - you can assign this user one or many roles so they can manage specific areas of Office 365
