• Record time and expense for Dynamics 365 for Project Service Automation and apply for a project
• Set up and manage the knowledge base
• Access to Interactive Service Hub
• Update personal information
• User reporting and dashboards
• Edit custom entities, except if the custom entity is related to another entity for which access is not granted
• Participate as an end-consumer of Dynamics 365 services including response to survey or apply for a project

(iv) Dynamics 365 for Operations Activity User
The Dynamics 365 for Operations Activity user can perform the following actions:
• All team member authorizations in the Unified Operations applications
• Approve all activity related transactions
• Create or edit items related to warehousing, receiving, shipping, orders, vendor maintenance and budgets
• Operate a point-of-sale (POS) device, store manager device, shop floor device or warehouse device

(v) Dynamics Device User
The following applications offer device licensing: Sales, Customer Service, Field Service, Finance and Operations and Retail. They offer the same capabilities as a full user, except that the license is associated to a device instead of a person. Under this case, it would not be possible to know which user performed which actions.
This licencing type is used when multiple users share one device. An example of that would be a computer used by an entire team for training purposes.

A

Microsoft Sure Step is a software developed by Microsoft to help Microsoft Partners implement as effectively as possible Dynamics 365. However, it is most importantly a project management methodology. It is only available to Microsoft Partners and the most recent updates are not publicly available.

1) The first step when you create a project in Microsoft SureStep is to select which applications or plan your client will be implementing
2) Then, you can select which project management methodology your team is preferring (Standard, Rapid, Enterprise, Agile and Upgrade)
3) Once you enter that information, Microsoft SureStep will automatically generate a project plan including phases and steps that need to be done in which order and a ton of document templates you can use for your project

A

1) Subscription are managed through the Office 365 Admin Center (portal.office.com/admin) and from there you can navigate to Billing -> Subscriptions. That’s also where you can purchase a subscription directly from Microsoft
2) The other two methods to purchase Dynamics 365 is to convert a 30-day trial into a paid subscription on the Buy Now button of your trial instance
3) purchasing it via a volume license agreement with Microsoft.

You don’t need Office 365 to purchase Dynamics 365, but they go so well together that it is definitely a great idea for an organization. Moreover, if you have a volume license agreement, Microsoft is known to give customers a multi-product discount if you purchase multiple solutions from them (Office 365, Dynamics 365, Power BI, Azure, etc.). You can also purchase the license from a Microsoft Partner.

A

If you wish to convert your online subscription to an on-premise or partner hosted solution, there is usually no cancellation fee due to the Power of Choice program. Under the program, you have 30 days to host your data on your servers or on a partner’s server or change your mind.

5.4c How do you use Office 365 online to create a user and what is the benefit of creating that user in Office 365?
1) It is best practice when you create the user to let Microsoft auto-generate a password and make the user change their password once they first sign in. Moreover, if the user forgets their password, you can click on the Reset Password button to send the user an auto-generated password that they can modify 2) The second section is to give the user an Office 365 user role. You can give them a simple user role with no administrative access, a Global Administrator role with all administrative tasks or a customized administrator role where they can handle some administrative tasks. The great advantage of using Office 365 online to create a user is that you automatically enable Single Sign On (SSO), which means a user logged in Office 365 is also logged in Dynamics 365 and only has one username and password to remember 3) The last setting you have to configure is which application will the user have access to. Not all users need all apps, so you can only give access to what the user needs

5.5 How do you assign roles to users? (PRACTICAL)
This topic is a very large chunk of the MB2-716 (Customization and Configuration) examination and is a very complex topic. For this examination, you only need to know that you have to give the user a Dynamics 365 user role for them to be able to access Dynamics 365 and that you can do so by navigating to Settings -> Security -> Users -> Select The User -> Manage Roles

5.6 How can you integrate Dynamics 365 with a 3rd party software not found on app source?
If you wish to integrate Dynamics 365 with a third party software not found on app source, you can do so by designating that software as a non-interactive user. That does not require an additional user license, but there is a limit of 5 non-interactive users per tenant

5.7 Describe the Online Services Administrator Roles and their permissions
These roles apply to the management of subscriptions and not of Dynamics 365. They include the following two roles: * Global Administrator * Custom Administrator, with one or more of the following roles: Billing Administrator, Exchange Administrator, Password Administrator, Skype for Business Administrator, Service Administrator, SharePoint Administrator and User Management Administrator (total of 7) NOTE: These two roles grant automatic access with no license required to Dynamics 365 to that user with the System Administrator role. However, they can only access the Settings app and cannot view or perform any action in any other Dynamics 365 app (Sales, Marketing, Customer Service, etc.). If you want your administrator to view and perform actions in these apps, they also need a license.

5.8 Describe the Dynamics 365 Administrator role and a variation of it
The system administrator role allows the user to do and see everything in Dynamics 365. This role's privileges cannot be modified. If your organization wants to delegate some Dynamics 365 administration or customization tasks, they can grant a user the System Customizer role. What if you already have user accounts on-premise and don't want to create a new set of accounts and start everything from scratch? You can link your accounts on active directory with Microsoft Office 365. You have 2 options: 1) Direct Synchronization - The user logs in using their unique identifier (which is now the same for the on-premise environment and online environment). It is a simple setup, with the main disadvantage being that a user accessing the on-premise environment would need to log in online to access Dynamics 365. The link is done in Azure Active Directory 2) Active Directory Federated Services - The setup of Active Directory Federated Services (ADFS) is much more complex than direct synchronization, but it allows the organization to enable single sign on (SSO - which means once user access their on-premise environment, they do not need to sign in again to access online services), enable user sign-in auditing (a legal requirement for some companies), enable sign-in schedule restrictions (which would block users access to the environment) or require immediate enabling and disabling of users

An instance is an organization in Dynamics 365 with its distinct SQL Server database. There are two types of instances: * Sandboxes: used to train employees, develop new features, test the effects of an upgrade or test a third party add-on. You can have one or multiple sandboxes performing these functions. * Production: The instance the end-user is using for actual work related purposes

6.5 What happens when you place an instance into administration mode?
you have a sandbox instance, you can place it in administration mode. This will prevent users except those having the system administrator or system customizer role to access your instance. This feature allows you to display a custom message to users trying to access it and are denied access. Moreover, you can also choose to disable background operations (fancy technical word for it: asynchronous operations).

6.6 What is a tenant and what are its constituents?
As per Microsoft: "A tenant is an account created in Microsoft Online Services when signing up for a subscription." See p25 diagram showing you how tenants and instances are related. A tenant can have one Dynamics 365 subscription and multiple instances of Dynamics 365. A tenant can include up to 50 production instances and up to 75 sandbox instances. A Dynamics 365 user can access any instance in a tenant if they have the appropriate security role.

6.8 Describe two strategies that a multinational could use and why
The situation gets complicated rapidly for a multinational corporation with offices all around the world, with some countries requiring by law that company data has to reside in a certain country or region. These companies should consider a multiple tenants deployment, where one tenant per region of operation is created. Each tenant is managed individually, users can only access the instances associated with their tenant, subscription services cannot be shared and active directory can only be synchronized or federated with one tenant. However, you can be sure that your data is in the region where you want it to be. If the multi-tenant solution would not work for a company, Microsoft can grant a tenant to have instances in multiple regions. An example of that would be for a company having user data in Active Directory.

6.9 Describe the storage that comes with Dynamics 365
Each subscription has one storage limit across all instances. Administrative notifications are sent to notify administrators if more than 80% of the storage is used. If 100% of the storage is used, no user can create a record unless other elements are removed or additional storage is purchased. Dynamics 365 gives you as part of your subscription 10 GB of storage with an additional of 5 GB of storage per 20 full users.

6.10 Describe how email notifications are controlled (PRACTICAL)
By default, administrative notifications are sent to users with a security role of system administrator. However, you can choose to add more people to the notifications list. To do so, you can navigate in your Office 365 Admin > All Admin centers -> Dynamics 365 -> Select Your Instance -> Notifications and add email addresses separated with a semi colon. You can add people outside of the organization, such as employees of your Microsoft Partner.
